The Toledo Complex, consisting of the Huntington Center and the Glass City Center, is a vital part of Legends Global's venue network. The Catering Coordinator role based at this location is a pivotal position, responsible for operational support across both venues specifically within the special events and catering department. This role carries the responsibility for the day-to-day operational activities related to special events and catering, ensuring seamless event execution from start to finish.
As a Catering Coordinator, you will work directly with the Director of Catering and various managers to gain hands-on experience in special events planning, creating Banquet Event Orders (BEOs), and managing venue-based catering services. The role demands a comprehensive understanding of event logistics, detail orientation, and the ability to coordinate multiple facets of catering operations concurrently. From planning and detailing catering requests to coordinating with culinary teams on menu selections, the Catering Coordinator ensures every event runs flawlessly.
In addition to logistical planning, this position also involves maintaining thorough documentation, such as event orders, floor plans, and reports, while supporting the financial side by preparing paperwork needed for post-event invoicing. The successful candidate will be involved in managing both internal client events and ticketed events, ensuring all operational aspects meet Legends Global's high standards.

Job Requirements
- Bachelor's degree from a college or university or 3 to 5 years experience in a related role
- minimum 1 year experience as hospitality coordinator
- working knowledge of culinary or food and beverage
- proficiency with Microsoft Office including Excel, Word, Outlook and PowerPoint
- ability to work in fast paced environment
- excellent organizational and communication skills
- ability to multi task
- detail oriented
- able to stand for long periods and perform physical duties such as lifting up to 75lbs
- ability to move around event venue and climb ladders as needed
- creative thinker
- prior experience creating BEOs
- knowledge of catering event order system a plus
- positive customer service attitude
- flexibility to adjust to event demands
Job Qualifications
- Prior experience in creating BEOs
- proficiency in Microsoft Excel, Word, Outlook and PowerPoint
- Microsoft Office document formatting skills
- knowledge of catering event order systems such as Momentous, Reserve, Delphi a plus
- familiarity with Social Tables, All Seated, Delphi Diagrams or Visio a plus
- detailed oriented and organized
- excellent customer service skills
- ability to multi task
- ability to work in fast pace environment
- creative and able to think outside the box
- minimum 1 years hospitality coordinator experience
- working knowledge of culinary or food and beverage
- strong written and verbal communication skills
- interest in special events and hospitality industry
- computer skills including Microsoft Office document formatting
Job Duties
- Plan, detail and execute catering requests for internal events and special events as assigned
- create event orders, floor plans and event logistics reports
- prepare and execute BEO meetings
- work with culinary team to select menu options and track internal costs
- create event orders for ticketed events
- assist Director of Catering with planning and executing catering orders for internal clients
- provide documentation to accounting for post event invoices
- support catering operations for all ticketed and special events
- attend staff and stadium production meetings
- maintain BEO documentation, generate change reports and weekly event tracking reports
- monitor venue calendar for catering requests
- assist in special events preparation as needed
- assist with on site event management front and back of house
- develop knowledge of conflict resolution in special events planning and execution
