Located in historic downtown Provo and opened in 2012, the Utah Valley Convention Center offers a functional floor plan and expansive spaces that cater to meetings, conferences, conventions, trade shows, and other special events of varying sizes and complexities.

The Event Manager position at the Utah Valley Convention Center presents an exciting opportunity to join a dynamic and respected organization within the Oak View Group portfolio. This full-time role, offering an annual salary range of $48,000 to $52,000, requires exceptional organizational skills, independent judgment, and a strong customer service orientation. The Event Manager is responsible for the end-to-end planning, organizing, and execution of all booked events at the venue. Duties include maintaining constant client communication to gather vital event details, recommending products and services to enhance the client experience, and coordinating closely with multiple internal departments to ensure smooth event delivery.

This role involves overseeing all on-site activities during the event setup and execution phases, ensuring accurate and timely preparation of event layouts, and managing logistical requirements. The Event Manager will function as a critical liaison between clients, vendors, and internal teams, requiring a thorough understanding of venue capabilities, relevant regulations, and effective crowd and safety management. The ability to anticipate challenges and resolve problems proactively helps ensure client satisfaction and the successful operation of diverse events.

Job Requirements

  • Bachelor’s degree from an accredited college or university
  • minimum 3-5 years relevant experience in event coordination or convention services
  • proven ability to plan, service and supervise large events
  • strong communication skills in English, both oral and written
  • knowledge of customer service practices, crowd management and control techniques, fire and public safety regulations
  • basic understanding of food service practices and A/V equipment
  • ability to work flexible schedules including early mornings, evenings, weekends, holidays and extended work days
  • proficiency in Microsoft Office applications including word processing, spreadsheets, databases and presentation software

Job Qualifications

  • Minimum 3-5 years experience in event coordination, convention services or meeting planning preferably within convention center, hotel, sports, performing arts or multi-purpose public assembly facility
  • bachelor’s degree from an accredited college or university in facility management, hospitality management, marketing, public relations, business management or related field
  • additional years of experience may be substituted for formal education
  • graduate of IAAM Public Assembly Facility Management School preferred
  • Certified Meeting Professional (CMP) designation preferred
  • possession or ability to obtain current CPR certificate
  • possession or ability to obtain Utah driver’s license

Job Duties

  • Meet, confer, consult and maintain continuous contact with potential and contracted clients
  • provide timely, accurate and detailed proposals, estimates, and layout drawings to potential and contracted clients
  • recommend products and services to meet and exceed client needs and expectations, maximize the overall event experience, and maximize revenue
  • communicate all regulatory restrictions and requirements to clients ensuring compliance prior to event
  • ensure all required contracts and documents have been executed according to prescribed timelines including rental contracts, certificates of insurance, licenses, permits
  • ensure collection of all payable by due dates
  • collect, organize, and record event specific and logistical data for booked events
  • document all communications with clients via EBMS folder and diary entries
  • create and distribute detailed event resumes and event space layout drawings to other departments accurately and timely
  • oversee the set-up of events ensuring all set-ups are completed accurately and on-time
  • anticipate and problem solve any event related concerns to ensure client satisfaction
  • inspect event space and surroundings to ensure proper maintenance before, during and after events
  • consult with exhibit managers, promoters, convention representatives concerning physical set-up needs and prepare work orders and cost-estimates
  • regularly function as Manager on Duty to ensure client needs are met and events proceed as planned
  • conduct or participate in post event meetings to analyze event outcomes and address issues
  • prepare and approve final invoicing for assigned events in a timely manner
  • maintain post event contact with clients to address all questions and concerns
  • complete post event summary detailing positives and negatives and input summary into EBMS diary for future reference
  • perform other duties as required
