The Event Coordinator role at the Ken Garff University Club located in Rice Eccles Stadium, Salt Lake City, Utah, is a full-time position essential to the success of event operations within this vibrant venue. The coordinator is responsible for the detailed and hands-on planning, coordination, and execution of events hosted in the facility, ensuring every element from security to logistics runs smoothly. This position offers an hourly wage range from $19.00 to $23.00 and includes benefits such as health, dental, and vision insurance, 401(k) savings plan with matching contributions, and paid time off including vacation, sick days, and 11 holidays.

As the Event Coordinator, the individual will act as the primary liaison among event promoters, show representatives, sports teams, and internal departments to coordinate event logistics effectively. Responsibilities include developing security staffing plans for each event, communicating timely and accurate event information to all relevant staff, managing labor assignments for event days, and preparing billing and expense settlements. The role demands a proactive and flexible approach, as schedules can vary including evenings, weekends, holidays, and extended hours depending on event demands.

The role also entails preparing detailed event data sheets distributed to departmental heads to ensure all teams are aligned on event specifics. Post-event reporting and follow-ups are crucial aspects of the position to assess performance and improve future events. The coordinator works closely with sports tenants to understand and fulfill game requirements, ensuring that the venue meets client expectations for a wide variety of sporting and entertainment events. Job Requirements

  • High school diploma or GED required
  • 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
  • Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
  • Experience with Microsoft Office products
  • Strong attention to detail
  • Strong interpersonal and communications skills

Job Duties

  • Advance each show/event with appropriate show/promoter representative in a timely fashion
  • Communicates all event information to the appropriate departments and staff
  • Develop, implement and manage event security plans in conjunction with event security provider and appropriate show/promoter representatives
  • Ensures that event set-ups are accurate
  • Communicates in a timely manner with each department head regarding specific needs and information for each event
  • Prepares and distributes event data sheet to all staff and departments in a timely manner
  • Prepares post-event report for all events coordinated
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • Work with promoters and agents to coordinate client needs for each event and provide cost estimates as required/requested
  • Preparation and submission of expenses for event settlement
  • Attend settlement if required
  • Executes other operational duties as assigned
