Within this dynamic company, the Event Coordinator position at the Ken Garff University Club in Rice Eccles Stadium, located at the University of Utah in Salt Lake City, is a full-time role pivotal to ensuring the seamless execution of various events held at the venue. This hourly role offers competitive pay within the range of $19.00 to $23.00 per hour and includes robust benefits such as health, dental, vision insurance, a 401(k) savings plan with matching contributions, and paid time off encompassing vacation days, sick days, and 11 annual holidays.
The Event Coordinator is responsible for overseeing all aspects of event operations at the Ken Garff University Club. This includes coordinating with event promoters, show representatives, and sports teams to facilitate the comprehensive planning and running of events. The role demands meticulous attention to detail in developing security staffing plans and labor management strategies tailored to each event's unique requirements. This individual acts as a crucial liaison to communicate vital event data to multiple departments to ensure that every facet, from logistics to customer service, is executed flawlessly.
Key responsibilities include advancing event details with relevant promoters, supervising event setup accuracy, preparing and distributing event documentation like Event Data Sheets, managing billing and expense submissions, and generating post-event reports. The Event Coordinator also collaborates closely with facility sports tenants to meet game requirements and is tasked with meeting client needs by coordinating with promoters and agents, including providing cost estimates when necessary.
This role requires the ability to work flexible and sometimes demanding schedules, including nights, weekends, holidays, and extended hours, reflecting the dynamic and high-energy nature of live events. Job Requirements
- High school diploma or GED required
- 1-2 years of experience in event coordination or similar role in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible hours including nights, weekends, holidays and extended hours
- Proficient in Microsoft Office products
- Strong attention to detail
- Excellent interpersonal and communication skills
Job Qualifications
- 4-year degree from a college or university preferred
- High school diploma or GED required
- 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays and extended hours
- Experience with Microsoft Office products
- Strong attention to detail
- Strong interpersonal and communications skills
Job Duties
- Advance each show/event with appropriate show/promoter representative in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop, implement and manage event security plans in conjunction with event security provider and appropriate show/promoter representatives
- Ensure that event set-ups are accurate
- Communicate in a timely manner with each department head regarding specific needs and information for each event
- Prepare and distribute event data sheet to all staff and departments in a timely manner
- Prepare post-event report for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Prepare and submit expenses for event settlement and attend settlement if required
- Execute other operational duties as assigned
