Among its prestigious venues is the Stormont Vail Events Center, located in Topeka, Kansas. The Stormont Vail Events Center is set on an 80-acre site with a rich history encompassing agriculture, farming, exhibitions, education, and entertainment. This multi-purpose arena seats 10,000 guests and has been a central hub for various high-caliber events since it was built in 1987. It boasts a robust infrastructure designed to support a wide range of entertainment and public gatherings.
The Event Coordinator role at the Stormont Vail Events Center is a full-time position pivotal to the success of all events hosted within the venue. This role is responsible for overseeing the intricate details of event operations, ensuring seamless coordination, and supporting all functional departments involved. Key responsibilities include developing and maintaining security staffing plans, managing labor, collecting and distributing detailed event information from promoters, show representatives, and sports teams, as well as managing billing and customer service. The successful candidate will act as a critical liaison between various stakeholders, guaranteeing that each event is delivered professionally and to the highest standards. This position offers an hourly wage between $16.50 and $18.00 and carries full-time status with comprehensive benefits.
In this role, the Event Coordinator must excel in multi-tasking and managing numerous time-sensitive duties. These include liaising with promoters and agents to address client needs and cost estimates, coordinating logistics with internal departments such as Box Office and Operations, and preparing detailed post-event reports. Event preparation involves the timely advancement of event details and seating arrangements, communication of requirements across all departments, and ensuring accuracy in event setups. Additionally, the coordinator is responsible for billing support and event-related financial settlements, occasionally attending settlements as required.
Candidates for this role should be prepared to embrace a dynamic and sometimes demanding work schedule that may include nights, weekends, holidays, and extended hours, inherent to the live event and entertainment industry. The work environment is predominantly indoors but can vary in noise level, especially during events where it may be quite loud. This position requires strong interpersonal skills for leadership, conflict resolution, and communication with staff and clients alike. Job Requirements
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
- One year of experience in the same or similar position in arenas, convention centers, stadiums or theaters is preferred
- Experience with Microsoft Office products, CAD and Ticketmaster ticketing software preferred
- 4-year degree from a college or university preferred but not required

Job Duties
- Advance each show/event with the appropriate show/promoter representative in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop accurate event seating information with the Box Office Manager and Operations Manager, and ensure that event set-ups are accurate
- Communicate in a timely manner with each department head regarding specific needs and information for each event
- Prepare and distribute Event Data Sheet to all staff and departments in a timely manner
- Prepare post-event report for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Prepare and submit expenses for event settlement and attend the settlement if required
- Execute other operational duties as assigned
