This particular opportunity is based at the Stormont Vail Events Center, located in the heart of Topeka, Kansas. The Events Center spans an 80-acre site that has a rich history tied to agriculture, exhibitions, education, and entertainment pursuits. The facility itself features the Landon Arena, a 10,000-seat multi-purpose arena built in 1987 and named after the respected Kansas elder statesman, Governor Alfred M. Landon. The venue is known for hosting a variety of events ranging from sports games to concerts and exhibitions, positioning it as a central hub for community and entertainment activities in the region.

The role available is for a full-time Event Coordinator, a critical position within the venue's management structure. The Event Coordinator is responsible for managing all facets of event operations, playing a vital role in ensuring the smooth execution of shows and events at the Stormont Vail Events Center. This role involves overseeing and coordinating activities such as security staffing, labor management, communication between promoters, show representatives, and sports teams, as well as customer service and logistical support. The position offers an hourly wage ranging between $16.50 and $18.00, reflecting the important responsibilities held by the coordinator.

Beyond merely overseeing events, the Event Coordinator collaborates closely with various departments, including the Box Office and Operations management, to develop accurate seating plans and event setups. Timely communication to staff and department heads about event specifics ensures that each event is well-planned and executed successfully. The coordinator is also responsible for preparing event-related reports, working with clients to meet their needs, and handling event settlement processes when required.

Job Requirements

  • High school diploma or equivalent
  • Willingness to work flexible hours including nights, weekends and holidays
  • Ability to multitask and communicate effectively
  • Strong organizational and leadership skills
  • Basic proficiency in Microsoft Office
  • Previous experience in event coordination or related field preferred
  • Ability to stand for long periods and move throughout event spaces
  • Must be legally authorized to work in the United States

Job Qualifications

  • 4-year degree from a college or university preferred but not required
  • One year of experience in the same or similar position in arenas, convention centers, stadiums or theaters is preferred
  • Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
  • Experience with Microsoft Office products, CAD and Ticketmaster ticketing software preferred

Job Duties

  • Advance each show/event with the appropriate show/promoter representative in a timely fashion
  • Communicates all event information to the appropriate departments and staff
  • Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure that event set-ups are accurate
  • Communicates in a timely manner with each department head regarding specific needs and information for each event
  • Prepares and distributes Event Data Sheet to all staff and Departments in a timely manner
  • Prepares post-event report for all events coordinated
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
  • Preparation of and submission of expenses for event settlement
  • Attend the settlement if required
  • Executes other operational duties as assigned
