Located at the Stormont Vail Events Center in Topeka, Kansas, this full-time role offers a lucrative hourly wage ranging between $16.50 and $18.00, alongside a comprehensive benefits package including health, dental, and vision insurance, a 401(k) savings plan with matching contributions, and paid time off encompassing vacation days, sick leave, and 11 holidays annually. The Event Coordinator position embodies a vital role within the venue management sector. The successful candidate will be entrusted with the comprehensive oversight of all event activities hosted at the venue. This includes collaborating closely with promoters, show representatives, and sports teams to develop meticulous event plans and ensure seamless execution.

Key responsibilities involve supervising and managing event operations, from security staffing to labor management, maintaining precise communication channels with department heads, and ensuring that every event setup aligns exactly with outlined arrangements. The role demands an individual capable of multitasking effectively under pressure, demonstrating leadership qualities to direct and motivate teams, and providing exceptional customer service to venue guests. The Event Coordinator will be central to coordinating logistics, event data dissemination, post-event reporting, and financial settlements related to events. These tasks require comprehension of technical aspects, including software tools such as Microsoft Office, CAD, and Ticketmaster ticketing systems.

Job Requirements

  • High school diploma or equivalent
  • One year of relevant experience in event coordination or venue management
  • Ability to work nights, weekends, holidays, and extended hours
  • Proficient in Microsoft Office applications
  • Strong communication and interpersonal skills
  • Ability to multitask and lead staff effectively under pressure
  • Physical ability to move around event sites and stand for extended periods
  • Must be able to work in a fast-paced and noisy event environment
  • Willingness to comply with venue policies and procedures

Job Qualifications

  • Four-year degree from a college or university preferred but not required
  • One year of experience in arena, convention center, stadium, or theater event coordination preferred
  • Ability to work flexible and demanding schedules including nights, weekends, holidays, and extended hours
  • Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred

Job Duties

  • Advance each show event with the appropriate promoter representative in a timely fashion
  • Communicate all event information to the appropriate departments and staff
  • Develop accurate event seating information with the Box Office Manager and Operations Manager and ensure event set-ups are accurate
  • Communicate timely with each department head regarding specific event needs and information
  • Prepare and distribute Event Data Sheet to all staff and departments promptly
  • Prepare post-event reports for all coordinated events
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate tenant events
  • Work with promoters and agents to coordinate client needs for each event and provide cost estimates as required
  • Prepare and submit expenses for event settlement and attend settlement if required
  • Execute other operational duties as assigned
