The Event Coordinator position at the Nampa Civic Center plays a pivotal role in ensuring the seamless execution of all events hosted at the facility. As an Event Coordinator, the individual will be responsible for overseeing all aspects of events from development and coordination to supervision. This includes maintaining labor management and security staffing plans, efficiently collecting and disseminating event information from promoters, show representatives, and sports teams, as well as assisting with billing preparation and providing exceptional customer service to guests. Coordination extends to ensuring that setup and logistical arrangements meet the requirements of each event, from seating configurations to technical support, thereby contributing to a positive reputation for event quality and operational excellence.
Moreover, the coordinator will work closely with diverse stakeholders including clients, promoters, agents, venue staff, and sports tenants to align and deliver event specifications. Job Requirements
- 4-year degree from a college or university preferred
- 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums or theaters preferred
- Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
- Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
- Previous experience preparing Event Data Sheets a plus

Job Duties
- Advance each show/event with appropriate show/promoter representatives in a timely fashion
- Communicate all event information to the appropriate departments and staff
- Develop accurate event seating information with the box office manager and operations manager and ensure that event set-ups are accurate
- Communicate in a timely manner with each department head regarding specific needs and information for each event
- Prepare and distribute the Event Data Sheet to all staff and departments in a timely manner
- Prepare post-event reports for all events coordinated
- Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
- Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
- Prepare and submit expenses for event settlement and attend settlement if required
- Execute other operational duties as assigned
