The Event Coordinator role within the Nampa Civic Center is a critical position responsible for overseeing all aspects of events hosted at the facility. This full-time position is designed for a candidate who thrives in a dynamic, fast-paced environment and who possesses exceptional organizational and communication skills. The hourly pay rate ranges from $20.00 to $24.00, reflective of the skills and experience required to excel in this role.

In this capacity, the Event Coordinator is entrusted with developing, coordinating, and supervising all event-related activities vital to the venue’s operation. Responsibilities include managing relationships with promoters, show representatives, and sports teams to gather and disseminate essential event information across various departments. The role also involves labor management, security staffing plans, billing preparation, and comprehensive customer service to ensure all guests enjoy a safe and memorable experience.

Furthermore, the Event Coordinator acts as the central communication hub, facilitating collaboration between the box office, operations team, and facility sports tenants to guarantee that event setups and seating arrangements meet precise specifications. The position requires timely distribution of the Event Data Sheet, efficient post-event reporting, and active participation in event settlements when necessary.

Job Requirements

  • 4-year degree from a college or university preferred
  • 1-2 years of experience in the same or similar position in arenas, convention centers, stadiums, or theaters preferred
  • Ability to work flexible and sometimes demanding schedules including nights, weekends, holidays, and extended hours
  • Experience with Microsoft Office products, CAD, and Ticketmaster ticketing software preferred
  • Previous experience preparing Event Data Sheets a plus

Job Duties

  • Advance each show/event with appropriate show/promoter representatives in a timely fashion
  • Communicate all event information to the appropriate departments and staff
  • Develop accurate event seating information with the box office manager and operations manager and ensure that event set-ups are accurate
  • Communicate in a timely manner with each department head regarding specific needs and information for each event
  • Prepare and distribute the Event Data Sheet to all staff and departments in a timely manner
  • Prepare post-event reports for all events coordinated
  • Meet with facility sports tenants to collect and distribute game requirements and coordinate efforts to produce tenant events
  • Work with promoters and agents to coordinate and facilitate client needs for each event and provide cost estimates as required/requested
  • Prepare and submit expenses for event settlement and attend settlement if required
  • Execute other operational duties as assigned
