The full-time Event Coordinator position at Oak View Group plays an integral role within the event management team at the Greensboro Coliseum Complex. Reporting directly to the Senior Event Manager, this role involves supporting the planning and execution of a wide array of events held at the First Horizon Coliseum and Steven Tanger Center. With an hourly pay rate ranging from $22.00 to $25.00, this position offers opportunities to contribute to high-impact events while working within a collaborative and professional environment.

As an Event Coordinator, you would be responsible for overseeing numerous facets of event planning, including gathering and disseminating critical event information among clients and internal teams, preparing billing, and assisting with the development of staffing and labor plans. Your role ensures a seamless event experience for guests and enhances operational efficiency by maintaining clear communication across departments. You will serve as the primary liaison between clients (lessees) and venue staff, fostering strong relationships to ensure client satisfaction and operational success.

This role demands strong multitasking and organizational skills, given the variety of events and stakeholders involved. You will participate actively in the entire event lifecycle from initial planning and adjustments based on client feedback to event execution and post-event load-out. The position also involves preparing detailed event memos and financial documents such as pre-show estimates and post-event settlements, critical for transparent and effective event management.

Job Requirements

  • Bachelor's degree from an accredited college/university
  • 1-2+ years of experience in event coordination or related roles
  • Proficiency in computer applications including Microsoft Office Suite
  • Ability to work flexible hours including nights, weekends, and holidays
  • Strong communication and interpersonal skills
  • Capability to manage multiple projects simultaneously
  • Attention to detail and organizational skills

Job Qualifications

  • Bachelor's degree from an accredited college/university with major coursework in facility management, hospitality management, business, or a related field is preferred
  • 1-2+ years of experience in the same or similar position in arenas, sports venues, convention centers, stadiums, or theaters preferred
  • Basic knowledge of computers, Microsoft Office Suite, and AutoCAD
  • Excellent collaboration, communication, interpersonal, organizational, and problem-solving skills required
  • Must be able to work a flexible work schedule, including nights, weekends, and holidays

Job Duties

  • Participate and perform duties to support the planning, execution, and post-load-out of events
  • Work concisely with Event Managers when adjusting plans and events based on clients' feedback and needs
  • Communicate in a timely manner with each department regarding specific needs and information for each event
  • Prepare and present the event memo document to all staff and departments in a timely manner
  • Serve as a liaison between the client (Lessee) of the facility and the facility staff
  • Establish and maintain effective working relationships with clients, internal departments, and external support staff
  • Prepare and assist with the completion of pre-show event financial estimates and post-event settlements
