The Event Coordinator role at Oak View Group is a full-time, regular position based in Greensboro, offering an hourly wage ranging from $22.00 to $25.00. Reporting directly to the Senior Event Manager, this role involves extensive support and coordination of events at the First Horizon Coliseum and Steven Tanger Center. The position plays a key role in ensuring the smooth planning, execution, and load-out phases of events, demanding strong organizational skills, effective communication, and the ability to collaborate cross-functionally with various internal departments and external stakeholders. The Event Coordinator is responsible for managing event-related activities, which include gathering and disseminating client and promoter information, preparing financial estimates and billing, and developing staffing and labor plans to optimize event operations and guest experience.
This position also requires active interaction with clients and venue staff to maintain excellent working relationships and ensure event goals are met. Job Requirements
- Bachelor's degree or equivalent experience
- 1-2+ years in event coordination or facility management in arenas or similar venues
- Proficiency in Microsoft Office and basic computer skills
- Strong communication and organizational abilities
- Ability to work flexible hours including nights, weekends, and holidays
- Excellent interpersonal and problem-solving skills
- Detail-oriented and able to manage multiple priorities simultaneously
Job Qualifications
- Bachelor's degree from an accredited college/university with major coursework in facility management, hospitality management, business, or a related field is preferred
- 1-2+ years of experience in the same or similar position in arenas, sports venues, convention centers, stadiums, or theaters preferred
- Basic knowledge of computers, Microsoft Office Suite, and AutoCAD
- Excellent collaboration, communication, interpersonal, organizational, and problem-solving skills required
- Must be able to work a flexible work schedule, including nights, weekends, and holidays
Job Duties
- Participate and perform duties to support the planning, execution, and post-load-out of events
- Work concisely with Event Managers when adjusting plans and events based on clients' feedback and needs
- Communicate in a timely manner with each department regarding specific needs and information for each event
- Prepare and present the event memo document to all staff and departments in a timely manner
- Serve as a liaison between the client (Lessee) of the facility and the facility staff
- Establish and maintain effective working relationships with clients, internal departments, and external support staff
- Prepare and assist with the completion of pre-show event financial estimates and post-event settlements
- Recommend and evaluate required event staffing levels
- Coordinate communication between building staff and show staff during load-in and load-out
- Collaborate cross-functionally to coordinate service needs for event Food and Beverage needs
- Perform all other duties as assigned
