The company is currently seeking a full-time Catering Coordinator to join the Food Services & Hospitality group located at the Iowa Events Center in Des Moines, Iowa. This role is vital in supporting the Catering and Culinary Departments by managing administrative functions that ensure smooth event operations. The position offers an hourly wage between $22.00 and $25.00 and includes significant benefits such as health, dental, and vision insurance, a 401(k) savings plan with matching contributions, and paid time off including vacation, sick days, and eleven holidays annually. The role's key responsibility is to aid in the coordination and communication necessary for successful catering events, which involves liaising between various departments, managing temporary staff, and overseeing meal functions.

The Catering Coordinator plays an essential role in updating and maintaining operational documents such as banquet event orders (BEOs), organizing event signage, and ensuring schedules are up to date and disseminated properly to staff. They handle new hire orientation and work closely with staffing agencies to meet temporary staffing needs efficiently. The job also involves office supply management and communication updates to keep the Catering Department functioning in an organized and timely manner. Furthermore, the role requires flexibility for varied work schedules, including day, evening, and weekend shifts to support catered functions. Candidates must be adept at multitasking in a fast-paced, event-driven environment and possess strong communication and interpersonal skills. Technical competence in Microsoft Office products such as Word, Excel, and Outlook is also important for success in this position.

Job Duties

  • provides support to the catering & culinary departments with coordination and communication of operation set-up timelines
  • updates their own BEO book promptly for accurate communication between departments
  • creating, organizing, and pulling signage for events as needed
  • receives new hire information from senior catering manager and provides department orientation and tour
  • participates in weekly BEO meetings and staff meetings to facilitate excellent communication of information between teams
  • interview and hire for open positions
  • updates employee schedules for catering employees including new employees' availability, availability updates, and RTO requests, and sends out revised schedules with necessary changes
  • prints schedules for catering department as well as timesheets for catering staff
  • coordinates with staffing agencies on required temporary staff needs in the area of catering, culinary & dish
  • check in temporary staff for shifts, reports temp hours to the agency, turns in timesheets for temp staff to office manager, and signs off on electronic time records for agencies
  • provides administrative support to the catering department including creating replenishment sheets, function signage, maintaining contact sheets, schedules, and employee email lists
  • tracks office stock levels and emails office manager when supplies need to be ordered
  • oversees catered events and staff as directed
  • maintains employee attendance tracker and communicates attendance points
  • responsible for paycheck distribution on paydays
  • ordering paper and coffee supplies and inventory
  • updates employee communication postings
