Job Qualifications

  • High school diploma or GED required
  • secretarial or clerical experience required including accurate keyboarding skills
  • proficiency in Microsoft Office software
  • willingness to learn Banner system and other applications
  • strong reading, mathematical, oral, written, grammatical, organizational, and interpersonal skills
  • ability to articulate information clearly
  • self-motivated, flexible, multi-tasking ability, and attention to detail

  • knowledge of Family Educational Rights and Privacy Act (FERPA) compliance

Job Duties

  • Type correspondence, requisitions, department meeting agendas and minutes
  • update student files and budget reports
  • order supplies and forms
  • perform reception duties including answering phone calls, taking messages, answering questions, directing students, scheduling appointments, distributing forms, assisting student workers, preparing and receiving faxes, and responding to emails
  • manage mail duties including delivering, picking up, sorting mail, preparing and sending mailings, prioritizing mail, and preparing material for reproduction
  • prepare and coordinate Box Office materials for Theatre and Dance productions, tally final bank, make vault deposits, and submit Box Office reports
  • manage special hooding and departmental reception duties such as room setup, decoration, coordinating posters and artworks, typing reception programs, organizing food, acting as hostess, and supervising student help
  • prepare, edit, and distribute syllabi, incorporating new procedures and uploading final versions to the university website
  • transfer theatre production budgets to ORU formats and create monthly budget reports for the Dean
  • take minutes at department meetings, transcribe and submit for review
  • update degree plan sheets, make catalog revisions, requisition departmental supplies including textbooks
  • create applicant files and assist in faculty recruitment arrangements
  • schedule course offerings and faculty office hours, prepare adjunct faculty appointments and contracts, and handle summer payroll schedules
  • assist faculty with travel requests
  • attend required administrative meetings and training sessions
  • perform other projects as requested by Directors or the college dean
