The Tenant Service Coordinator role at Piedmont is a critical position that primarily focuses on administrative and clerical tasks supporting tenant services across a city-wide portfolio. The role is integral to the property management team, ensuring smooth communication and effective handling of tenant requests and work orders. Serving as the frontline in customer service, the Tenant Service Coordinator manages the reception phone, responds promptly to tenants, administers contract documents, and oversees the tenant work order system. This position demands a proactive approach to identifying trends in tenant service requests and work orders while ensuring that service metrics are consistently met.
The Tenant Service Coordinator dedicates approximately half of their time to tenant support, managing the tenant system, dispatching work orders, training tenants and employees on the system, and maintaining communication to ensure tenant satisfaction. The individual will be responsible for coordinating tenant relations programs, updating tenant contact lists, scheduling vendor services, and managing conference room bookings including setup and supplies.
Additionally, the role requires competency in contract administration, where the Coordinator assists property management in preparing vendor contracts, ensuring all necessary documentation is collected, and facilitating contract execution. Record-keeping following company policies is also a vital part of this responsibility.
Reporting duties involve pulling and reviewing reports from the tenant system, maintaining a security access database by programming access cards, and generating monthly reports. Furthermore, the Coordinator will support the office's administrative functions, including greeting visitors, answering phones, maintaining office supplies, and assisting with IT troubleshooting.
The position calls for a self-starter who is highly organized, dependable, and possesses strong communication skills. Physical presence in the office is regularly required, alongside the ability to inspect various property areas, sometimes entailing standing or walking for extended periods. Job Requirements
- At least two years experience in customer service
- High school degree or equivalent
- Proficiency in Microsoft Office
- Must be a self-starter
- Must be highly organized
- Excellent phone communication skills
- Must be team-oriented and dependable
- Ability to physically inspect all areas of property including roof and basement
- Ability to stand, sit or walk for extended periods
- Routine physical presence at office
- Ability to attend annual company-wide meeting for two to three days
Job Qualifications
- High school degree or equivalent
- Two or four year college degree preferred
- At least two years of customer service experience
- Property management experience preferred
- Proficiency in Microsoft Office
- Real estate software experience preferred
- Excellent phone, verbal and written communication skills
- Self-starter and highly organized

Job Duties
- Administer the tenant system including dispatching work orders, training tenants and employees, and monitoring reports and completion of work orders
- Respond to all tenant requests and calls, determine urgency, prepare work orders, and consult with property management as necessary
- Respond to and enter tenant requests received outside of the tenant system
- Monitor work order completion times and escalate as necessary
- Coordinate the day-to-day tenant communications including after-hours notifications
- Log completed work orders and follow-up on tenant requests to ensure satisfaction
- Assist in creating move-in packages for property management
- Coordinate the tenant relations program
- Assist in fostering long-term relations with tenants
- Maintain current tenant contact list with emergency contacts
- Coordinate tenant scheduling of vendor services
- Manage conference room scheduling and maintain appearance, setup, supplies, food, and beverage
- Assist property management in preparing vendor contracts by setting up templates, ensuring documentation and drafting contracts
- Route contracts for execution and communicate status between vendors and property management
- Assist in record keeping according to policy
- Assist in pulling reports from tenant system
- Review reports with management to ensure tenant metrics are met
- Maintain and update security access database including programming cards and generating reports
- Greet and host visitors and answer reception phone
- Provide administrative support for Regional Manager, General Manager or Property Manager by preparing correspondence and expense reports
- Assist with office filing and maintaining office supplies
- Maintain office appearance
- Open, sort and date stamp incoming mail
- Monitor radio communications and forward issues to property management
- Assist IT with troubleshooting network, printer and scanner issues
