The Tenant Service Coordinator plays a crucial role within Piedmont, primarily handling administrative and clerical duties related to tenant services across a city-wide portfolio. This role supports property management by performing routine functions such as managing tenant requests, contract administration, and overseeing the tenant work order system. Positioned at the frontline of customer service, the Tenant Service Coordinator is responsible for answering reception calls, responding promptly to tenant inquiries, and ensuring that service metrics are met and maintained efficiently. This position requires excellent organizational skills and a proactive approach to managing tenant communications and work orders.

The Tenant Service Coordinator dedicates approximately 50% of their time to tenant support, including administering the tenant system (Angus), dispatching work orders, training tenants and employees, and monitoring the completion of maintenance tasks. They respond to tenant requests, assess urgency, consult with property management as necessary, and maintain the satisfaction of tenants through consistent follow-up. In addition to tenant support, this coordinator assists in contract administration by managing vendor contract preparations, ensuring documentation compliance, and facilitating contract execution.

Reporting duties comprise around 10% of the role, involving generating and reviewing reports to monitor tenant service metrics and managing the security access database. The remaining 10% of the position involves providing administrative support to regional and property managers, handling office reception duties, maintaining office supplies and filing systems, and assisting with IT troubleshooting.

This position requires someone with a strong work ethic, excellent communication skills, proficiency in Microsoft Office, and the ability to move frequently within property spaces to perform inspections. Job Requirements

  • At least two years experience in customer service required
  • Property management experience preferred
  • High school degree or equivalent required
  • Two or four year college degree preferred
  • Proficiency in Microsoft Office
  • Real estate software experience preferred
  • Excellent phone, verbal and written communication skills
  • Must be a self-starter, self-disciplined, and highly organized
  • Must have a strong work ethic, be team-oriented and highly dependable
  • Requires frequent movement and ability to inspect all areas of property including roof and basement
  • Must be able to stand, sit, or walk for extended periods
  • Routine physical presence required at office
  • Routine travel not required except annual company-wide meeting for two to three days

Job Duties

  • Administer the tenant system including dispatching work orders, training tenants and employees, and monitoring work order completion
  • Respond to all tenant requests and calls, determine urgency, prepare work orders, and consult with property management
  • Respond to and enter tenant requests received outside of the tenant system
  • Monitor work order completion times and escalate as necessary
  • Coordinate day-to-day tenant communications including after-hours notifications
  • Log completed work orders and follow up on tenant requests to ensure satisfaction
  • Assist in creating move-in packages for property management
  • Coordinate the tenant relations program and foster long-term tenant relationships
  • Maintain current tenant contact list with emergency contacts
  • Coordinate scheduling of vendor service dates and times
  • Manage conference room scheduling and maintain appearance, setup, supplies, food and beverage
  • Assist property management in preparing vendor contracts and ensuring documentation compliance
  • Route contracts for execution and communicate status between vendor and property management
  • Assist in record keeping according to policy
  • Pull and review reports from tenant system to ensure service metrics are met
  • Maintain and update security access database including programming cards and generating reports
  • Greet and host all visitors and answer reception phone
  • Provide administrative support for managers including typing correspondence and preparing expense reports
  • Assist with office filing and ordering supplies
  • Maintain office appearance
  • Open, sort and date stamp incoming mail
  • Monitor radio communications and forward significant issues
  • Assist IT with troubleshooting network and equipment issues
