The position of Operations and Events Coordinator at Third Coast Foundry is integral to the smooth and welcoming functioning of this innovative space. Reporting to the center's leadership, the coordinator is responsible for managing day-to-day operations, ensuring the facility is well-maintained, and that users adhere to established guidelines and policies. In addition to handling the administrative tasks such as scheduling, coordinating events, and managing facilities operations, this role also involves direct logistical support for events hosted at Third Coast Foundry. This includes overseeing event setups and takedowns, conducting basic audiovisual equipment checks, and assisting in the smooth execution of meetings, receptions, and other programming. The coordinator's responsibilities extend to vendor management, conflict resolution among users, maintaining supply inventories, and communicating operational updates to university stakeholders.
The role is designed as a part-time position, approximately 18 hours per week, typically spread over two days, providing a flexible work schedule while playing a vital role in the center's outreach and operational excellence. Job Duties
- Serve as a welcoming presence for all visitors, partners, and users
- support user and event scheduling and coordination
- check in users, orient them to the space, and ensure adherence to guidelines and policies
- monitor use of the space and assist with conflict resolution over shared resources
- maintain a professional, inviting, and tidy environment at all times
- support management of interns and assist with operational and facilities coordination
- oversee day-to-day functionality of the space such as supplies, room readiness, and basic tech readiness checks
- serve as a point of contact with building management and security for facilities needs including maintenance tickets, cleaning, and security issues
- identify operational issues as they arise and escalate or troubleshoot as appropriate
- support implementation of formal procedures and checklists such as opening/closing, visitor protocols, safety basics, and user guides
- coordinate event logistics and planning with hosts to ensure smooth execution of events, meetings, receptions, partner gatherings, and other programming
- support set-up and takedown of furniture and equipment for events
- assist with event needs such as basic A/V checks, signage, and directing event flow
- provide onsite event support including check-in, wayfinding, and troubleshooting
- assist in building and maintaining a preferred vendor list and tracking usage metrics
- provide regular operations updates to leadership and stakeholders
- perform other duties as assigned
