We are currently seeking a Temporary Front Office Administrator to join our dynamic Membership team. This role is an excellent opportunity for someone with a hospitality-driven attitude who thrives in a fast-paced environment and enjoys providing remarkable service. As a Front Office Administrator, your primary responsibilities will include ensuring efficient communication flow within the club by managing incoming calls, maintaining reservation lists for various club functions, and coordinating special services such as car detailing for members. Your role will also involve providing outstanding customer service to members, guests, and visitors by assisting with inquiries and administrative support.
In this position, you will be instrumental in maintaining the smooth operation of administrative activities. This includes distributing correspondence and mail accurately and timely, maintaining office supplies, and coordinating maintenance of office equipment to avoid disruptions. Additionally, you will create and produce promotional flyers and assist with member digital communications, contributing to the marketing efforts of the club. You will help manage the club website and ensure that all information about events, promotions, and news articles is up to date.
The role requires a keen eye for detail, excellent multitasking abilities, and a proactive approach to problem-solving. You will assist with coordinating arrangements for unaccompanied guests and managing file systems that support club operations and projects. Job Requirements
- Previous experience working in a professional office environment for a minimum of 1 year, preferably in the hospitality industry
- Strong working knowledge of Microsoft Office applications including Excel, Publisher, and Outlook
- Ability to operate standard office equipment
- A great attitude and commitment to providing amazing hospitality
- The ability to multitask, produce accurate work, be flexible and have fun
- Commitment to embrace our core values of professionalism, teamwork, mutual respect and accountability
- Valid work authorization for the United States
Job Qualifications
- Previous experience working in a professional office environment for a minimum of 1 year, preferably in the hospitality industry

Job Duties
- Ensure the smooth receipt and routing of all incoming calls from all sources into the Club
- Prepare, update, and maintain reservation lists for all special events, lunches, and dinners when appropriate
- Coordinate and arrange car detailing services for members upon their request
- Assist members, guests, and visitors by satisfying the need for information or assistance when in the administrative offices
- Assist in the timely and accurate distribution of correspondence, mail, and other essential communication to internal and external destinations
- Maintain supplies to ensure uninterrupted administrative activities and use of office equipment by coordinating maintenance and repair
- Create and produce flyers as requested by members, management, and fellow employees
- Send and receive faxes
- notify parties of intention to fax and confirm receipt of fax
- distribute incoming faxes to appropriate persons
- send and receive e-mail
- Establish, maintain, and update Club operations files, various project files and other individual filing systems on a timely basis
- Ensure that all services to Members are conducted in a highly professional and efficient manner
- Assist with Member digital communications and promotions for example MPCC weekly emails and updating mpccpb.org with current files, minutes, promotions, event details, news articles
- Coordinate unaccompanied guests’ arrangements and confirmations
