The Events Associate position at Baker Tilly plays a pivotal role in supporting the strategic design, coordination, and execution of firm-wide events that enhance both internal and external stakeholder engagement. This dynamic role is integral to managing event platform configurations using Cvent, orchestrating event logistics, and collaborating closely with key stakeholders to deliver seamless and impactful attendee experiences. Reporting to the Manager of Travel and Events, the Events Associate develops detailed timelines, recommends innovative event delivery formats, and marshals cross-functional resources to guarantee that all event objectives are achieved effectively and efficiently. The role demands independent judgment in prioritizing event components, optimizing event platform setups, managing communications to attendees, and overseeing vendor relationships to maximize service quality and participant satisfaction.

Key responsibilities include ownership of Cvent platform event builds covering aspects such as websites, registrations, mobile apps, travel modules, and reporting capabilities. The associate advises on configuration choices to elevate attendee engagement and experience. The position requires meticulous planning and coordination of event logistics—from venue selection and travel arrangements to session design and stakeholder communication—ensuring a flawless run-of-show and recommending vendor solutions that align with strategic goals. Additionally, the associate is responsible for managing vendor deliverables, negotiating timelines, monitoring service levels, and tracking event expenses for budget compliance. Proficiency in producing virtual and hybrid event experiences, including speaker coordination, technical support, and contingency planning, forms a vital element of the role. The associate also analyzes event feedback and data to inform improvements and future event strategies, enhancing program content and overall delivery methods. This position offers an hourly pay range of $20.23 to $49.10, with actual compensation based on a variety of factors such as skills, experience, qualifications, and location. Job Duties

  • Own event build and configuration in Cvent including website, registration, mobile app, housing/travel modules, and reporting
  • Evaluate configuration options and recommend solutions to meet event needs and attendee experience goals
  • Plan and coordinate event logistics including venue requirements, travel/accommodations, attendee profile needs, session design, run-of-show, and stakeholder communications
  • Make recommendations to leadership on format, sequence, and vendor selection
  • Manage vendor and supplier relationships including coordinating deliverables, negotiating timelines, monitoring service levels, and escalating issues to leadership as needed
  • Track associated event expenses and vendor invoices
  • Produce virtual and hybrid event experiences including platform setup, speaker coordination, technology support, testing, and contingency planning
  • Analyze event data and attendee feedback to recommend improvements for future events and inform event strategy, design, and engagement
