The Baker Institute for Public Policy, part of Rice University, is one of the nation's leading nonpartisan public policy think tanks founded in 1993. It brings together scholars, fellows, and staff to conduct impactful research and collaborate with experts across academia, government, media, business, and non-governmental organizations. The institute hosts a variety of events such as lectures, conferences, seminars, and meetings to disseminate knowledge and stimulate informed discussion on critical public policy issues.

We are currently seeking a full-time, temporary Events Assistant to join our team from July through December 2026. This benefits-eligible position plays a key role in supporting the Baker Institute's programming and events. Reporting to the Assistant Director of Events, the Events Assistant will provide crucial logistical support across a broad spectrum of events, ensuring seamless registration, guest management, vendor coordination, budgeting, and overall execution. This position is ideal for individuals with proven event management experience who thrive in dynamic environments and enjoy collaborating with a diverse range of stakeholders.

The ideal candidate will demonstrate excellent organizational skills, strong written and verbal communication, and the ability to handle multiple priorities while maintaining professionalism and courtesy. Experience in academic or nonprofit settings, especially with hosting dignitaries or VIPs, is highly valued. The role requires the incumbent to be physically present on Rice's campus, engaging directly with events and team members, reinforcing the importance of teamwork and presence in delivering successful programs.

Job Duties

  • Work closely with event hosts including Baker Institute leadership and external groups to plan and execute events
  • Assist with logistical tasks such as online registration, guest check-in, vendor support, budgeting, and expense reconciliation
  • Follow event procedures for various types including lectures, seminars, conferences, meetings, dinners, receptions, and distinguished visitor events
  • Supervise and assign tasks to event-related student interns
  • Coordinate with vendors and internal teams to ensure event details are managed effectively
  • Manage guest registration processes and supervise check-in during events
  • Support preparation and setup of event venues
