FIFA26 is the organizing body responsible for delivering the FIFA World Cup 26, an unprecedented global sporting event that will unite fans and players from around the world. This edition of the FIFA World Cup will be the first to feature 48 teams and will be jointly hosted by three countries: Canada, Mexico, and the United States. FIFA26 is dedicated to creating an extraordinary and unforgettable experience, leveraging innovation and inclusivity to redefine excellence in international sports event management. As a fixed-term employment opportunity based in Kansas City, this role demands onsite presence to coordinate transport logistics for the participating teams effectively and seamlessly.

The Teams Transport Coordinator role is pivotal within the FIFA26 Event Transport team, contributing directly to the smooth organization and operation of team transportation at designated base camp hotels and venues. This position entails comprehensive responsibility for bus, fleet, and airport/FBO (Fixed Base Operator) services, ensuring compliance with FIFA’s stringent service levels and operational protocols. The Coordinator acts as the crucial link between multiple stakeholders, including drivers, suppliers, security officers, airport authorities, and FIFA’s transport management, ensuring strict adherence to bubble-to-bubble operational security for the teams.

This multifaceted role demands exceptional organizational capabilities to manage daily communications among fleet, transport, logistics, security, and client service teams. Essential duties include conducting vehicle inspections and driver briefings, supervising driver check-ins and shift allocations, managing staging zones and parking, and coordinating arrivals and departures for teams at airports and FBOs. The role requires the ability to handle evolving schedules using transport management software, validate driver training, oversee compliance with operational procedures, and respond promptly to issues to maintain uninterrupted operations.

Moreover, the Teams Transport Coordinator is responsible for maintaining load zones, resolving operational challenges, collaborating with venue and hotel staff to ensure transport infrastructure readiness, and submitting daily operational reports. The role also entails liaising with security convoys and managing logistics related to rate card vehicles. Success in this position requires a hands-on approach and the capability to work proactively and independently while fostering strong teamwork.

Candidates for this role should have a bachelor's degree or equivalent experience in event management, sports management, hotel management, project management, transport operations, logistics, or hospitality. Prior experience in event transport, logistics, or operations, particularly with large international events, is highly advantageous. The role also requires strong interpersonal skills, cultural awareness, and the ability to thrive in a dynamic, high-pressure environment. Proficiency in English is mandatory, while skills in Spanish or French are considered a plus. Familiarity with technology tools such as MS Office and planning software enhances the ability to perform effectively.

Job Requirements

Job Duties

  • Maintain daily communication with fleet, bus, arrivals and departures, venue transport, security, logistics, and client services functions
  • Hold daily face-to-face meetings with team liaison officers to align on schedules, procedures, and driver management
  • Receive and inspect all vehicles before each shift, conducting driver briefings on daily activities and changes
  • Escalate issues immediately to ensure continuity of operations
  • Act as the primary point of contact for team liaison officers at the base or venue-specific team hotel
  • Ensure compliance with service level agreements and all FIFA transport policies
  • Coordinate with liaison officers to maintain strict bubble-to-bubble operations
  • Ensure load zones are available and maintained for all team activities
  • Support drivers in resolving operational issues, escalating when required
  • Liaise with training site and hotel staff to ensure readiness of signage, cones, and transport infrastructure
  • Submit daily reports on concerns, incidents, and operational performance
  • Manage daily driver check-in/out and shift scheduling
  • Ensure standard operating procedures are followed by staff
  • Secure and manage staging areas, load zones, and parking
  • Oversee transport management system including last-minute schedule or vehicle changes
  • Validate and facilitate driver training and conduct test runs to ensure route familiarity
  • Supervise drivers during shifts ensuring compliance with procedures and grooming standards
  • Ensure all vehicles are maintained, fueled, branded, equipped, and operationally ready
  • Provide accurate driver and vehicle information as required
  • Manage rate card requests in collaboration with team liaison officers
  • Coordinate with depot team for vehicle/driver issues including convoy movements
  • Act as on-site coordinator for all team arrivals and departures via airports and FBOs
  • Communicate with FBO teams, airport authorities for vehicle staging and access
  • Ensure drivers know approved routes and timings
  • Guarantee vehicle positioning at least 60 minutes prior to estimated time of arrival
  • Coordinate security convoys and logistic trucks when applicable
  • Liaise for live convoy tracking and resolve any discrepancies
  • Train colleagues on SOPs for first international arrivals and departures
  • Coordinate media access and badging for first arrivals
  • Stay onsite until after estimated time of departure confirming successful departures or resolving issues
  • Perform any other duties as required
