The Task Force Sales Coordinator – Meetings & Events position at Embergrove Hospitality is a full-time opportunity designed for a highly organized and detail-oriented professional who will provide critical support across multiple hotel properties. This role is essential during leadership transitions, high-demand periods, new hotel openings, and operational realignments, ensuring that sales and event functions continue seamlessly despite changes or challenges. The coordinator’s primary focus lies in managing meetings, events, and group business from the initial inquiry stage through post-event follow-up while adhering strictly to brand standards and delivering an exceptional level of client service.
This role requires a candidate who thrives in highly dynamic and fast-paced environments, showing flexibility and adaptability with frequent travel commitments of 50-75 percent. The ideal individual excels in multitasking, communication, and collaboration with various hotel departments such as Operations, Food & Beverage, Front Office, and Revenue Management. Responsibilities include managing group and event inquiries, preparing proposals and contracts, coordinating all aspects of meeting logistics, conducting client site tours, and managing detailed event communications. Additionally, the Task Force Sales Coordinator supports Directors of Sales and Sales Managers by handling lead follow-ups, maintaining CRM systems, responding to RFPs, tracking group pickups and billing, and participating actively in sales reporting and forecasting to maximize group revenue.

Job Requirements
- Minimum 2-3 years of hotel sales or event coordination experience
- strong knowledge of meetings, group room blocks, and banquet operations
- experience with major hotel brands
- proficiency in CRM systems and hotel PMS systems
- exceptional organizational skills

- strong written and verbal communication skills
- ability to travel up to 50-75%
- flexible schedule including occasional evenings or weekends
Job Qualifications
- Minimum 2-3 years of hotel sales or event coordination experience
- strong knowledge of meetings, group room blocks, and banquet operations
- experience with major hotel brands preferred (Marriott, Hilton, Hyatt, IHG, etc.)
- proficiency in CRM systems and hotel PMS systems
- exceptional organizational skills and attention to detail
- strong written and verbal communication skills
- ability to travel up to 50-75% as needed
- flexible schedule including occasional evenings or weekends for site visits or events
Job Duties
- Manage group and event inquiries from prospecting through contract execution
- prepare proposals, contracts, banquet event orders (BEOs), and group resumes
- coordinate all meeting logistics including room blocks, catering details, AV needs, and event timelines
- serve as liaison between clients and hotel departments (Operations, F&B, Front Office, Revenue Management)
- conduct site tours and assist with client presentations as needed
- ensure accurate event detailing and communication to operations teams
- participate in pre-convention and pre-event meetings
