We are currently seeking a diligent and highly organized Task Force Sales Coordinator specializing in Meetings and Events to join our team. This role is designed for individuals who thrive in fast-paced environments and enjoy supporting multiple hotel properties concurrently. The Task Force Sales Coordinator plays a vital role in assisting during periods of leadership transition, high-demand seasons, new property openings, and essential operational shifts. This position entails providing on-site and remote sales support, focusing primarily on the coordination of meetings, events, and group business activities.

The ideal candidate will be responsible for managing the entire lifecycle of group and event inquiries—from initial prospecting through to contract execution and post-event follow-up—ensuring that every detail aligns with Embergrove Hospitality’s brand standards. The tasks include preparing proposals, contracts, banquet event orders, coordinating logistics such as room blocks, catering, audio-visual requirements, and event timing, as well as acting as a liaison between clients and various hotel departments including operations, food and beverage, front office, and revenue management.

This role requires excellent communication skills, the ability to maintain accurate documentation in CRM systems, and a proactive approach to sales support by assisting Directors of Sales and Sales Managers with lead tracking, RFP responses, account management, and sales reporting. The Task Force Sales Coordinator also participates in pre-event and pre-convention meetings and handles reporting functions to monitor group pace, booking trends, and revenue optimization opportunities.

Job Requirements

  • Minimum 2-3 years of hotel sales or event coordination experience
  • Strong knowledge of meetings, group room blocks, and banquet operations
  • Proficiency in CRM systems and hotel PMS systems
  • Ability to travel up to 50-75 percent
  • Flexible schedule including evenings or weekends
  • Exceptional organizational skills
  • Strong communication skills

Job Qualifications

  • Experience with major hotel brands preferred such as Marriott, Hilton, Hyatt, IHG
  • Proficiency in CRM systems and hotel PMS systems

  • Strong written and verbal communication skills
  • Ability to travel up to 50-75 percent as needed
  • Flexible schedule including occasional evenings or weekends for site visits or events

Job Duties

  • Manage group and event inquiries from prospecting through contract execution
  • Prepare proposals, contracts, banquet event orders, and group resumes
  • Coordinate all meeting logistics including room blocks, catering details, AV needs, and event timelines
  • Serve as liaison between clients and hotel departments such as operations, food and beverage, front office, and revenue management
  • Conduct site tours and assist with client presentations as needed
  • Ensure accurate event detailing and communication to operations teams
  • Participate in pre-convention and pre-event meetings
