Currently, we are seeking a meticulous and highly organized Task Force Sales Coordinator – Meetings & Events to join our team on a full-time basis. This role is crucial for supporting our properties during periods of leadership transitions, high demand, new hotel openings, and operational realignments. The Task Force Sales Coordinator will provide both on-site and remote sales support across multiple hotel properties, focusing primarily on coordinating meetings, events, and group business. This position requires a professional who excels in managing complex logistical details, communicating effectively with clients and hotel teams, and delivering top-notch customer service while maintaining brand consistency.

The Task Force Sales Coordinator acts as a vital link between clients and various hotel departments including Operations, Food & Beverage, Front Office, and Revenue Management. Responsibilities include managing group and event inquiries from initial contact through contract execution, preparing proposals, contracts, and banquet event orders (BEOs), and coordinating meeting logistics such as room blocks, catering, audiovisual needs, and event timelines. Additionally, this role involves conducting site tours and assisting with client presentations when necessary, ensuring that every event detail is accurately communicated to operational teams.

Job Requirements

  • Minimum 2-3 years of hotel sales or event coordination experience
  • Strong knowledge of meetings, group room blocks, and banquet operations
  • Experience with major hotel brands preferred
  • Proficiency in CRM systems and hotel PMS systems
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Ability to travel up to 50-75% as needed
  • Flexible schedule including occasional evenings or weekends for site visits or events

Job Qualifications

Job Duties

  • Manage group and event inquiries from prospecting through contract execution
  • Prepare proposals, contracts, banquet event orders (BEOs), and group resumes
  • Coordinate all meeting logistics including room blocks, catering details, AV needs, and event timelines
  • Serve as liaison between clients and hotel departments (Operations, F&B, Front Office, Revenue Management)
  • Conduct site tours and assist with client presentations as needed
  • Ensure accurate event detailing and communication to operations teams
  • Participate in pre-convention and pre-event meetings
