We are currently seeking a highly organized and detail-oriented Task Force Sales Coordinator specializing in Meetings and Events to join our team on a full-time basis. This role is critical in providing temporary on-site and remote sales support to multiple hotel properties during periods of leadership transitions, high demand, new openings, or operational realignments. The position requires significant travel, offering a dynamic work environment across various locations, with responsibilities focused on ensuring seamless coordination of meetings, events, and group business activities. The ideal candidate will thrive in fast-paced settings, demonstrate excellent communication and organizational capabilities, and contribute to maintaining the high brand standards and exceptional client service synonymous with Embergrove Hospitality.
As the Task Force Sales Coordinator for Meetings and Events, you will be responsible for managing group and event inquiries from initial contact through contract execution, preparing detailed proposals, contracts, banquet event orders, and group resumes. Your role will include coordinating all logistical aspects such as room blocks, catering, audio-visual requirements, and event schedules. Acting as an essential liaison between clients and various hotel departments—including Operations, Food & Beverage, Front Office, and Revenue Management—you will play a pivotal role in facilitating communication and ensuring operational alignment. In addition, you will assist with site tours and client presentations, ensuring all event details are accurately documented and communicated.
This position also involves supporting Directors of Sales and Sales Managers by following up on leads, managing accounts, maintaining data accuracy in CRM systems such as Delphi, CI/TY, or brand-specific platforms, and assisting with requests for proposals and brand lead sources like Cvent or Lanyon. You will be responsible for tracking group pickups, managing rooming lists, coordinating billing, and maintaining organized sales files and documentation. Your efforts will directly support new hotel openings, leadership transitions, and fill temporary staffing needs in sales departments.
Performance monitoring and reporting form a critical part of your responsibilities. You will assist with analyzing group pace, production reports, and booking trends while contributing to monthly sales forecasting and identifying opportunities to maximize revenue through group upsell services. This role demands adaptability, strong multitasking abilities, a client-focused mindset, and cross-functional collaboration skills, which are essential for success in the dynamic hospitality events environment. Job Requirements
- Minimum 2-3 years of hotel sales or event coordination experience
- Strong knowledge of meetings, group room blocks, and banquet operations
- Experience with major hotel brands preferred
- Proficiency in CRM systems and hotel PMS systems
- Exceptional organizational skills and attention to detail
- Strong written and verbal communication skills
- Ability to travel up to 50-75% as needed
- Flexible schedule including occasional evenings or weekends for site visits or events

Job Duties
- Manage group and event inquiries from prospecting through contract execution
- Prepare proposals, contracts, banquet event orders (BEOs), and group resumes
- Coordinate all meeting logistics including room blocks, catering details, AV needs, and event timelines
- Serve as liaison between clients and hotel departments (Operations, F&B, Front Office, Revenue Management)
- Conduct site tours and assist with client presentations as needed
- Ensure accurate event detailing and communication to operations teams
- Participate in pre-convention and pre-event meetings
- Support directors of sales and sales managers with lead follow-up and account management
