Within this esteemed institution, the full-time surgical scheduling specialist role is crucial in ensuring smooth operational flow and optimal utilization of surgical resources. Operating under general supervision and in accordance with established policies and procedures, you will perform an array of duties in the outpatient surgical clinic. Your responsibilities will include collaborating closely with departmental physicians and staff as well as coordinating with multiple hospital departments to streamline the surgical authorization and admission processes. This position demands a detailed-oriented individual who can develop and maintain the entire scheduling process, maximizing the use of physicians' time and surgical block availability. This role is vital in finalizing schedules, completing necessary documentation, and initiating billing procedures for surgical cases.
The position offers an opportunity to directly impact patient experiences by communicating effectively with patients and their families about surgical dates and preparation requirements. Your expertise will ensure that patient data is accurately entered into the hospital’s system, physician operating room utilization is optimized, and timely adjustments are made to accommodate changes or cancellations. An integral part of your role will include verifying patient eligibility and benefits, securing necessary authorizations and referrals, and maintaining meticulous records related to surgical boarding. Beyond scheduling, you may engage in additional administrative duties like data entry, filing, and report preparation. Job Requirements
- High school diploma or equivalent
- Up to one year additional technical or specialty training preferred
- Two years of previous clinical or clerical experience in a medical office or hospital
- Previous surgical case scheduling strongly preferred

Job Duties
- Communicates with department staff regarding physician schedule for distribution of surgical dates to patients at time of service
- when necessary, communicates directly with patients/family the date of procedure and/or surgical preparation needs
- Utilizes hospital computer system to accurately enter patient data for surgical boarding process
- Reviews utilization of physician's O.R. block time to ensure unused blocks may be utilized by other physicians
- Communicates with Boarding Office timely for release of block schedule
- Adjusts schedule as necessary to accommodate changes and/or cancellations and notifies patients and boarding department as appropriate
- Verifies patient eligibility and benefits of patient plans and assures authorizations/referrals and re-authorizations are obtained and secured timely
- Checks all patient information for completeness and accuracy
- Finalizes O.R. schedule for the following day and distributes as appropriate
- Maintains records regarding surgical boarding
- assists in maintenance of other records as assigned
- May perform a variety of additional duties such as data entry, filing, preparing reports, answering telephones, scheduling appointments
- Maintains and/or enhances professional expertise through appropriate education and organizational activities
- Keeps current on changes with insurance requirements and hospital policy and procedures
- Participates as a team member including mentoring new employees
