Slocum Orthopedics is currently seeking a full-time Surgery Scheduler to join their dynamic team. This role is essential for managing the scheduling of orthopedic surgeries for multiple physicians across several busy medical office locations. The Surgery Scheduler will be responsible for coordinating surgery blocks and open times at various sites, ensuring efficient use of surgery rooms and timely appointments for patients. This individual must possess the ability to efficiently manage multiple telephone lines in a call center environment, demonstrating excellent multitasking skills and clear communication abilities. The role requires entering patient and surgery information accurately into the computer systems while maintaining a friendly and professional demeanor when interacting with patients and coworkers.
The Surgery Scheduler will handle numerous administrative and coordination tasks, including running detailed reports, creating Excel spreadsheets to communicate surgery schedules with component representatives, and assisting with pre-authorization tasks related to surgery. Additionally, the position involves scheduling pre-operative visits, anesthesia appointments, and specific educational classes like the Total Joint class for patients undergoing lower extremity joint replacements. The Scheduler will also be responsible for sending medical clearance requests to primary care providers or sub-specialists as required by the surgeon, while maintaining organized cheat sheets for providers to ensure seamless communication within the team.
An important part of the role includes monitoring and responding to hospital data exchange emails, notifying scheduling leads about off-template surgery bookings, releasing unused surgery block time according to facility guidelines, and providing patients with additional education about their surgical or diagnostic procedures. The candidate will participate in monthly surgery scheduling team meetings and use a comprehensive surgery checklist that must be completed within 24 hours of scheduling the surgery. The ideal candidate will have a background in healthcare settings, preferably with prior experience in orthopedic surgery scheduling or a Certified Medical Assistant credential. The work location for this position is in person, offering a collaborative face-to-face environment to support team cohesion and effective communication.

Job Requirements
- High school diploma, GED, or one to three months related experience and/or training, or equivalent combination of education and training
- Minimum of two years in a related health care setting, including back office or front office administrative roles
- Orthopedic experience and/or previous surgery scheduling experience preferred
- Certified Medical Assistant preferred

Job Duties
- Manage Slocum surgery block/open time for Sacred Heart, McKenzie Willamette, McKenzie Surgery Center, Slocum ASC, and Day Surgery at Riverbend
- Ability to manage multiple telephone lines in a call center setting scheduling new surgery appointments
- Maintain knowledge of how to understand and fill Slocum surgery block/open time for Sacred Heart, McKenzie Willamette, McKenzie Surgery Center, Slocum ASC, and Day Surgery at Riverbend
- Enter all information into the computer while on the telephone or face to face with a patient
- Run reports to create Excel spreadsheets and communicate with component reps about upcoming surgeries
- Communicate effectively and clearly with patients and co-workers
- Tasks PA for surgery authorization
- Schedule pre-op visits
- Schedule anesthesia visits as indicated by facility
- Schedule Total Joint class for Lower extremity Total Joint patients
- Send PCP/Sub-specialty medical clearance requests as indicated by surgeon
- Maintain cheat sheets for providers in your assigned area
- Monitor and respond to Hospital Data Exchange emails
- Notify Scheduling Leads and Physician Assistant Supervisor when providers are scheduling surgery off template
- Release unused Slocum block time within the facility guidelines
- Provide additional patient education regarding surgery and diagnostic procedures
- Meet monthly with the Surgery Scheduling Team
- Use Surgery checklist for every patient scheduled
- Complete Surgery checklist in its entirety within 24 hours of scheduling the surgery
- Other duties as assigned
