The Client Services Support Associate plays a crucial role in the effective administration and support of Sample Programs managed by CareTria. Under the supervision of an Account Manager or Senior Account Manager, the Support Associate is responsible for handling day-to-day operations for assigned client programs. This role is focused on ensuring all program activities are performed accurately, efficiently, and within the guidelines of the Statement of Work (SOW), client business rules, SOPs, and PDMA compliance standards. The position requires a proactive approach to monitoring inventory, maintaining accurate documentation, providing responsive client communication, and supporting quality events. The Support Associate acts as a pivotal communication bridge between various teams, clients, and external auditors to facilitate smooth program operations.

This full-time position offers a base pay ranging from $20.00 to $23.00 per hour, which may vary based on market conditions, individual experience, and qualifications. Job Requirements

  • High school diploma or equivalent
  • minimum one year customer service experience
  • proficiency with Microsoft Outlook, Excel, Word, and PowerPoint
  • excellent verbal and written communication skills
  • ability to multitask and manage time effectively

Job Qualifications

  • High school degree required
  • associate's degree desirable
  • equivalent certificate training and/or experience considered
  • approximately one year experience in a customer service environment
  • exceptional interpersonal and communication skills verbal and written

  • sound judgment and professionalism in deadline-driven environments
  • proficiency in Microsoft Outlook, Excel, Word and PowerPoint

Job Duties

  • Support productivity and efficiency for the client programs while ensuring compliance with SOW, client business rules, SOPs and PDMA regulations
  • assist in the maintenance and updating of all client documentation
  • support creation of client program documentation and system setup
  • provide internal and external client support via email, fax, and phone as required
  • monitor and support inventory tasks including reconciliations and tracking back-orders
  • monitor sales representative sampling activities and sample transaction data
  • review daily orders, reports, and files required by clients
  • support generation and reporting of reconciliations activities
  • coordinate 3rd party field audits and issue program instructions to external PDMA auditors
  • perform daily data entry, troubleshoot and resolve system issues, and send client reports
  • report compliance-related issues promptly to client and internal Regulatory Department
  • communicate program changes and opportunities to management
  • support resolution of Acknowledgement of Content and Signature Verification Letters
  • support internal Quality Events and provide timely follow-up
  • serve as backup for Senior Support Associate
