The role of Supply Ordering & Inventory Coordinator is vital within the Heartland Roadshow’s operational framework, supporting the national outreach and ensuring seamless execution of buyer events throughout the country. This position involves managing the ordering, tracking, and fulfillment of buyer kits and operational supplies across all nationwide events. The coordinator plays a crucial role in guaranteeing that buyers have all the necessary materials to operate successfully by maintaining accurate inventory records, assembling kits thoroughly, and coordinating timely shipments.

This is a hands-on, detail-oriented role that demands strong organizational skills and the capacity to handle high-volume, repetitive tasks efficiently in a fast-paced environment. By maintaining a steady supply chain of operational materials and buyer kits, this role directly contributes to the smooth execution of events nationwide. The Supply Ordering & Inventory Coordinator manages inventory for first-time buyer kits, refills, and related supplies, ensuring materials are accurate and complete before dispatch. The coordinator also interacts with shipping carriers like UPS to manage logistics, address delivery issues, and coordinate returns.

Additionally, this role includes tracking supply expenses according to company protocols and serving as a point of contact between buyers and operations regarding all supply needs. Job Duties

  • Order and manage inventory for first-time buyer kits, kit refills, and supplies to support nationwide operations
  • assemble and prepare first-time buyer kits, ensuring all required materials are included and accurate
  • track inventory levels and maintain accurate, up-to-date records
  • monitor supply usage trends and ensure inventory is replenished in a timely manner
  • coordinate shipments to both the warehouse and directly to buyers for upcoming shows
  • track deliveries and ensure supplies arrive on time
  • follow up on delays, missing items, or issues
  • coordinate returns as needed
  • communicate with carriers (e.g., UPS) as needed to manage shipping logistics
  • process and reconcile supply-related expenses and receipts in accordance with company procedures
  • serve as a point of contact for buyers and operations regarding supply needs and issues
  • support weekly show preparation by ensuring all required materials are ordered, assembled, and delivered on time
