The Contract & Payment Management and Reservations & Rooming Coordination role at Pursuit serves as a critical link in ensuring seamless guest experiences and flawless operational execution. This position is responsible for leading a specialized team tasked with accurate interpretation and implementation of sales contract terms, ensuring that payment schedules and release dates are adhered to with precision. The role involves producing and managing invoices associated with deposits and final payments, performing monthly reconciliations, and auditing payments to maintain financial integrity. Beyond financial oversight, this position manages reservations from the initial inquiry to the final guest interaction, overseeing inventory for group bookings across multiple Pursuit businesses and ensuring the timely update of rooming lists and meal requests across systems. Maintaining consistent communication with partners post-contract countersigning and acting as a key point of contact between internal teams and external stakeholders are vital components of this role.

The successful candidate will embrace collaboration by partnering with on-site location teams to support daily operations, fostering a service-focused and enjoyable working environment. Additionally, this role champions technology adoption by training the team to utilize new systems effectively and recommending innovative tools such as Passkey, Revenue Cloud, Fresh Desk, CRM platforms, workforce management, and knowledge systems to enhance productivity and support organizational growth. The ideal candidate brings previous experience in hospitality, travel, or group reservations management, possesses strong supervisory, organizational, and communication skills, and demonstrates the ability to think strategically while executing efficiently in fast-paced environments. Job Requirements

  • Bachelor’s degree in business administration hospitality management or a related field preferred
  • Previous experience in hospitality travel or group reservations management
  • Familiarity with hotel or attraction reservation systems
  • Experience interpreting and executing the terms of sales contracts
  • Proficiency with Microsoft Office products
  • Supervisory organizational and communication skills
  • Strong sense of urgency and attention to detail
  • Excellent written and verbal communication skills English secondary language is an asset
  • Hospitality mindset with a service-first attitude toward clients and colleagues
  • Sound judgment adaptability and a can-do attitude
  • Experience working with geographically dispersed teams

Job Qualifications

  • Previous experience in hospitality travel or group reservations management
  • Familiarity with hotel or attraction reservation systems

Job Duties

  • Lead a team that interprets and implements sales contract terms ensuring payment schedules and release dates are executed accurately
  • Produce and manage invoices for deposits and final payments
  • Reconcile balances monthly and audit payments
  • Manage reservations from initial inquiry to final touchpoint across multiple businesses
  • Manage inventory for group bookings across multiple businesses
  • Enter rooming lists and ensure updates are actioned promptly
  • Ensure meal requests are reflected across systems
  • Maintain communication with partners once contracts are countersigned
  • Serve as a key point of contact between internal and external stakeholders
  • Partner on-site location teams to support daily operations
  • Create and foster an environment that is collaborative service-focused and fun
  • Promote a culture of technological adaptability by ensuring the team is well-trained and prepared to leverage new systems effectively
  • Continuously evaluate and recommend new technologies to address evolving business needs improve team productivity and support growth initiatives
