The University of Utah's Executive Education department is seeking a dedicated and organized professional for the role of Student Success & Operations Coordinator for its Part-Time MBA Programs. This position is integral to delivering a superior educational experience within their Professional MBA (PMBA) and Online MBA (OMBA) programs. The Student Success & Operations Coordinator will drive the student experience from admission through graduation, combining multiple responsibilities that include student onboarding, advising, program operations, event coordination, and academic support. The position serves as a primary point of contact for students, fostering meaningful engagements with them to ensure their academic and professional journey is supported comprehensively.

Responsible for facilitating student success, the coordinator manages a caseload of students, providing both virtual and in-person advising, and empowering students with resources to ensure their academic and personal growth. This involves maintaining accurate student records and utilizing university-specific tools such as Salesforce and Slack to monitor engagement and support effective communication.
Event planning and coordination constitute another critical part of the role. The coordinator will organize orientations, networking events, residencies, and graduation activities while collaborating with faculty, alumni, and employers to design meaningful and engaging programs that foster community spirit and enhance student retention and satisfaction.
Academic operations support includes coordinating classroom logistics and assisting faculty with course delivery technologies such as Canvas, scheduling, and ensuring a welcoming environment conducive to learning and professional development.
The role also involves a strong operational focus where the coordinator analyzes program data and student feedback to recommend improvements, identifies opportunities to optimize processes, and champions a culture of continuous improvement and innovation. Job Duties
- Serve as a primary point of contact for admitted and current students throughout their graduate program experience
- coordinate onboarding activities that help newly admitted students successfully transition into the PMBA and OMBA programs
- build meaningful relationships with students through a proactive, student-centered advising approach
- conduct in-person and virtual advising appointments for an assigned student caseload
- maintain accurate student records and advising documentation
- connect students with university resources that promote academic, personal, and professional success
- utilize systems such as Salesforce, Slack, and other university technologies to communicate proactively, monitor student engagement, and support student success
- plan, coordinate, and execute orientations, networking events, residencies, graduation activities, student engagement programs, and other initiatives that foster community and enhance the student experience
- collaborate with faculty, alumni, employers, and campus partners to create meaningful experiences that support student engagement and success
- support recruitment, onboarding, retention, and alumni engagement efforts through high-quality programming and events
- coordinate event logistics, communications, vendors, catering, and on-site execution
- maintain accurate event records and participation data within Salesforce and other university systems
- assist with budget tracking, purchasing, and event planning as assigned
- assess program effectiveness and recommend enhancements to continually improve the student experience
- coordinate classroom logistics and operational support for PMBA and OMBA courses, residencies, and special program activities
- support faculty before and during class sessions by coordinating classroom needs, technology, instructional materials, catering, and student communications
- utilize Canvas and other instructional technologies to support course delivery
- assist with academic scheduling, program calendars, classroom reservations, and operational planning
- help ensure a professional, organized, and welcoming classroom experience for students and faculty
- maintain accurate records, reports, and operational documentation across university systems
- analyze data, operational metrics, and student feedback to inform decisions and improve program effectiveness
- identify opportunities to improve workflows, simplify administrative processes, and enhance operational efficiency
- leverage technology, automation, AI tools, and other emerging solutions to improve productivity, communication, and service delivery
- recommend and implement process improvements that elevate the student and faculty experience while supporting operational excellence
- contribute to a culture of innovation, continuous improvement, and exceptional customer service
- perform other duties as assigned in support of the Professional MBA and Online MBA programs
