Job Description

Fairfield College Preparatory School is a distinguished all-boys Jesuit, Catholic high school located on the campus of Fairfield University in Fairfield, Connecticut. The Student Life & Activities Operations Coordinator plays a vital role at Fairfield Prep by providing essential logistical and administrative support for a wide range of student programs. Reporting directly to the Principal, this position is instrumental in ensuring the smooth operation of student life activities, which include coordinating travel, retreats, service events, and other student programming initiatives. This role also extends administrative support to three key departments: Campus Ministry, Diversity & Community Engagement, and the McLeod Innovation Center, all of which are central to the school's mission and student development goals. The Coordinator’s responsibilities encompass managing transportation arrangements for student activities, supporting the planning and execution of retreats and liturgical events, facilitating diversity and inclusion programming, and overseeing event logistics for student life. Furthermore, the role requires maintaining organized business processes including purchase orders, invoicing, and vendor communications to support effective operations across these departments. The Student Life & Activities Operations Coordinator must be a highly organized individual with excellent communication skills and the ability to manage multiple projects simultaneously. Experience with mission-driven or faith-based organizations, particularly those aligned with Catholic and Jesuit education philosophies, is preferred. While the position is primarily based on the Fairfield, CT campus, the Coordinator may occasionally provide support for evening or extended-day events including retreats and service initiatives. Job Duties

  • Coordinate all local, regional, and domestic transportation for student activities and field trips
  • Communicate with transportation vendors and confirm schedules, rosters, and logistical details
  • Ensure proper documentation and compliance for permissions, travel forms, and approvals
  • Provide administrative support to the Director of Campus Ministry, including preparation of materials, communications, and scheduling for retreats and liturgical events
  • Assist with logistics for retreats, service programming, and ministry-related events
  • Coordinate FMX reservations and event space scheduling in support of Campus Ministry programs
  • Provide administrative and logistical support to the Diversity & Community Engagement Office
  • Assist with planning and execution of programming such as Black History Month, No Place for Hate, and speaker events
  • Coordinate communication, materials, scheduling, and data tracking for SEED student programming
  • Support mentoring programs and other initiatives promoting inclusion and belonging
  • Order and organize supplies in the McLeod Innovation Center
  • Support summer camps and special events
  • Manage the McLeod Innovation Center calendar of events
  • Support planning, scheduling, and logistics for Student Life events, including class programming, advisory activities, and community-building experiences
  • Coordinate space requests, technology needs, and event setups for Student Life activities
  • Prepare materials and assist with communication regarding student programs
  • Manage Student Life business processes, including purchase orders, invoicing, travel authorizations, and vendor coordination
  • Maintain organized digital and physical filing systems for Student Life, Campus Ministry, and Diversity
  • Provide occasional evening or extended-day support for retreats, service events, or major student programs
  • Perform other duties as required by supervisor and departmental needs
