Job Description

This full-time, unlimited appointment position is located in Minneapolis and is classified under the bargaining unit of the Minnesota Association of Professional Employees (MAPE). The role offers a competitive salary ranging from $23.98 to $34.69 hourly, which equates to $50,070 to $72,432 annually. The position operates primarily during the day shift hours of 7:00 am to 3:30 pm, Monday through Friday, with required availability during evenings and weekends as necessary. Telework is not eligible for this role.

As a State Program Administrator serving as the Campus Events Coordinator at Minneapolis College, you will play a vital role in organizing and managing logistical planning for a broad variety of events across the campus. This position acts as the key point of contact for both internal and external customers, guiding them from the initial inquiry through to successful event execution. It entails responsibilities including managing and processing facility use agreements and account invoicing, ensuring accurate record keeping of facility usage and rental revenues. You will also facilitate reservations using the event management system (EMS) software, acting as the designated on-site coordinator for events held during evenings and weekends.

The Campus Event Coordinator oversees coordination, guidance, and direction to the team members involved in event setup and execution, including technology support, building maintenance, building services, and general maintenance personnel. You will manage scheduling for daily setups and various tasks, coordinate with vendors such as food service providers and trades staff, and ensure all schedules and event details are clearly documented and communicated to stakeholders. This role also requires liaising with college stakeholders to guarantee that campus-sponsored events uphold high standards and comply with system and college policies.

Excelling in this role requires expert organizational skills, strong communication capabilities, and a deep understanding of relevant rules, laws, regulations, agreements, and contracts involved in event planning. The position demands a well-rounded approach to customer service, with a focus on supporting diverse groups effectively while ensuring compliance with budgeting, financial planning, and collective bargaining agreements.

Job Requirements

  • Education and experience that demonstrate knowledge of event planning and facilities procedures
  • Ability to work effectively with diverse groups and provide excellent customer service
  • Ability to manage and coordinate multiple events and resources
  • Knowledge of financial and contractual compliance related to event management
  • Willingness to work evenings and weekends as required
  • Ability to stand for extended periods and perform physical activities including bending, lifting, and moving items up to twenty-five pounds
  • Current or former employees must be in good standing with Minneapolis College
