The role of Senior Events Planner II is based in the AMA’s corporate offices in Chicago, IL, and offers a hybrid work model with three days per week spent in the office. This position is integral to the Corporate Services team and involves the comprehensive management and supervision of AMA-sponsored meetings, as well as providing support for ancillary meetings hosted by various AMA units. The Senior Events Planner II is responsible for end-to-end meeting and conference management, engaging in both short-term and long-term event planning while adhering to standardized protocols and procedures established by the organization.

This role requires expertise in coordinating logistics, negotiating contracts, managing budgets, and liaising with multiple internal stakeholders including finance and legal departments, as well as external partners such as hotels and vendors. Candidates will play a critical role in ensuring that events are executed seamlessly and effectively, including designing and supporting both in-person and virtual or hybrid events. The responsibilities also include developing timelines, advising on resource allocation for projects, and implementing safety, security, and emergency protocols to provide a secure environment at all assigned events.

In addition to event planning and execution, the Senior Events Planner II will utilize specific event management tools such as CVENT to create event pages, monitor registrations, generate reports, and provide both online and onsite registration support. The position demands excellent communication skills, strong organizational abilities, a customer service-oriented mindset, and experience with vendor and budget management. This is a dynamic role that supports the AMA’s commitment to sustainability by encouraging eco-friendly practices in event planning and vendor selection.

The position also offers a competitive salary range of $61,800 to $82,025, reflective of candidate qualifications, skills, education, experience, and geographical considerations. Job Requirements

  • Associate's degree required
  • minimum 5 years experience in meeting-related field including registration and planning
  • certified meeting planner (CMP) preferred
  • CVENT certification preferred
  • excellent time management skills
  • ability to supervise temporary staff
  • excellent interpersonal and communication skills
  • strong planning and organizational skills
  • excellent computer skills including Microsoft Office and meeting management software
  • experience managing budget
  • experience with vendor management and negotiations
  • familiarity with nonprofit and health care sectors preferred
  • some travel required
  • some evening and weekend work required

Job Duties

  • Coordinate and manage exhibit booth requirements
  • coordinate and manage internal and external meetings and events in-person, virtually and hybrid
  • develop timelines and advise on resource availability for projects
  • coordinate logistics and implement safety, security and emergency protocols
  • select sites, negotiate rates, and execute contracts
  • serve as liaison with internal stakeholders including finance and legal
  • build and maintain relationships with hotels and vendors
  • track budgets and guide budget development
  • reconcile financial reports and post-event billing
  • assist with chargebacks and financial reporting
  • support sustainability initiatives in event planning
  • assess repeat meetings and recommend innovations
  • create event pages in CVENT
  • monitor and generate reports
  • provide online and onsite registration support
  • process meeting registrations and payments
