The Senior Events Planner II position located within the Corporate Services team is a hybrid role based in Chicago requiring three days per week onsite. This role offers an excellent opportunity to be part of a mission-driven organization striving to enhance national health outcomes through exceptional event planning and coordination. The position reports to the Chicago office and is classified as an exempt role. The salary range for this role is $61,800 to $82,025, depending on experience, qualifications, and other relevant factors. This role is pivotal in managing and overseeing AMA-sponsored meetings, delivering comprehensive meeting services support to various AMA units, and coordinating ancillary meetings. The Senior Events Planner II is responsible for end-to-end event management for both short-term and long-term planning, adhering to standard protocols and procedures while acting as the onsite liaison with hotels, vendors, and stakeholders at assigned events. The planner handles intricate logistics, including safety, security, emergency protocols, and sustainability initiatives as part of event planning and vendor selection efforts.

Key responsibilities include managing exhibit booth requirements, coordinating in-person, virtual, and hybrid meetings, developing detailed project timelines, and overseeing budget development, tracking, and reconciliation. The role requires negotiating contracts and rates with sites and vendors, ensuring timely payments, and supporting overall financial reporting. The planner will also use CVENT event management software extensively to create event pages, monitor registrations, generate reports, and provide registration support. Occasional travel and work during evenings or weekends may be required.

  • minimum 5+ years experience in meeting-related field including registration and planning
  • certified meeting planner (CMP) preferred
  • CVENT certification preferred
  • excellent time management skills
  • ability to supervise temporary staff at meetings
  • excellent interpersonal and communication skills
  • strong planning and organizational skills
  • excellent computer skills including Microsoft Office, Windows 10, Teams and Zoom
  • experience managing budgets
  • demonstrated vendor management and rate negotiation experience
  • familiarity with nonprofit sector and health care industry preferred
  • some travel required
  • some evening and weekend work required

Job Duties
