Job Requirements
- Associate's degree required
- bachelor's degree preferred
- minimum 5+ years experience in meeting-related field including registration and planning
- certified meeting planner (CMP) preferred
- CVENT certification preferred
- excellent time management skills
- ability to supervise temporary staff at meetings
- excellent interpersonal and communication skills
- strong planning and organizational skills
- excellent computer skills including Microsoft Office, Windows 10, Teams and Zoom
- experience managing budgets
- demonstrated vendor management and rate negotiation experience
- familiarity with nonprofit sector and health care industry preferred
- some travel required
- some evening and weekend work required

Job Duties
- Coordinate and manage exhibit booth requirements
- coordinate and manage internal and external meetings and events in-person, virtually and hybrid
- develop timelines and advise on resource availability for projects
- coordinate logistics and oversee safety, security and emergency protocols for meetings
- select sites, negotiate rates, and execute contracts
- serve as liaison with internal stakeholders including finance and legal
- build and maintain relationships with hotels and vendors
- track and guide budget development and reconcile reports and billing
- support sustainability initiatives in event planning and vendor selection
- assess repeat meetings and recommend innovative meeting approaches
- manage CVENT event pages, generate reports and provide registration support
- provide onsite liaison support during events
