We are currently seeking a Senior Events Coordinator to join our team. This critical role focuses on promoting the value and benefits of OCLC services to current and potential members through the effective coordination of activities at conferences and events. The Senior Events Coordinator manages exhibits, special events, meetings, updates, and presentations, often overseeing multiple conferences simultaneously. This role requires juggling numerous deadlines and coordinating efforts across various internal and external groups to ensure successful event execution.
The Senior Events Coordinator operates under the direction of the Conference & Exhibits Manager, playing a central role in organizing conferences, meetings, road shows, and exhibitions at over 30 domestic and international venues. Responsibilities include scheduling booth spaces, handling setup and dismantling of exhibit equipment, proofreading promotional materials, securing accommodations and meeting spaces, and managing the logistics of large-scale events such as the American Library Association (ALA) conferences. The role also involves maintaining relationships with vendors, tracking budget costs, coordinating lead capture using software tools like Captello and Salesforce, and managing the global event calendar and exhibit schedule through Airtable.
This position demands exceptional organizational skills, the ability to multitask effectively, and operate independently with good judgment and initiative. Strong communication skills, both verbal and written, are essential, especially related to trade show materials and presentations. The ideal candidate should have experience in corporate event or tradeshow management, preferably with familiarity using project management and lead capture software. Knowledge of OCLC’s mission and services is beneficial. The working environment is a normal office setting with some travel and on-site event coordination responsibilities.

Job Requirements
- Academic degree or equivalent BS or BA in Communications or Marketing
- 2-4 years of corporate event or tradeshow management experience
- Experience with lead capture software such as Captello or Salesforce is a plus
- Experience with project management software like Airtable is a plus
- Strong ability to operate in a fast-paced environment
- Excellent organizational skills
- Ability to handle multiple projects and meet deadlines
- Ability to work independently using discretion, judgment, and initiative
- Excellent verbal, visual, and written communication skills
- Proficiency in Microsoft Office
- Knowledge of OCLC and its services is beneficial

Job Duties
- Organize and coordinate conferences, meetings, road shows, and exhibitions at over 30 domestic and international exhibits
- Supervise the setup and dismantling of event booths and equipment
- Communicate with internal departments and vendors to ensure service delivery
- Schedule booth space and secure accommodations and meeting spaces
- Proofread and revise copy for conference-related advertising and email invitations
- Coordinate logistics for large conferences such as registrations, housing, catering, entertainment, transportation, and special events
- Track lead capture for events using Captello and Salesforce software
- Maintain the global event calendar and exhibit schedule using Airtable software
- Manage inventory of advertising specialty items and VIP gifts
- Track and stay within budget costs, negotiate with external vendors
- Assist with on-site operations of large conferences and meetings
