The Arizona College of Optometry at Midwestern University is actively seeking a highly organized and proactive Senior Administrative Assistant. This role plays a pivotal role in coordinating and executing programs and events that support continuing education (CE), student career development, faculty engagement, admissions initiatives, and alumni relations. It is ideal for candidates who are detail-oriented, possess excellent organizational abilities, and are comfortable managing multiple concurrent projects with minimal supervision. The Senior Administrative Assistant will be responsible for overseeing all event logistics including virtual and in-person CE events, collaborating with internal committees and external stakeholders such as speakers and alumni, and ensuring all programming is professionally organized and executed. This position occasionally requires working evenings or weekends to support key initiatives and events.

In this capacity, the successful candidate will serve as the primary administrator for the Association of Regulatory Boards of Optometry CE tracking and compliance, coordinate admissions-related events such as open houses and pre-optometry programs, and support student career development efforts including the annual career fair. Additionally, this position entails coordinating faculty development initiatives by identifying and engaging external speakers and resources, managing event communications and promotional efforts including social media outreach, and partnering with the marketing department to facilitate internal and external community events such as high school career days and community outreach activities. The role demands a strong ability to engage diverse stakeholders and effectively track participation and engagement metrics to ensure continued improvement and success of programs. Job Requirements

  • High school diploma or GED
  • 3-5 years of administrative support, program coordination, or event planning experience
  • Ability to work occasional evenings or weekends
  • Computer proficiency in MS Office (Word, Excel, Outlook)
  • Ability to prioritize multiple projects and deadlines
  • Ability to work in a constant state of alertness and a safe manner
  • Regular, predictable, in-person attendance
  • Intermediate language skills for reading, writing, and speaking
  • Intermediate reasoning ability to carry out instructions and resolve standard issues
  • Ability to occasionally lift or move up to 25 pounds

Job Qualifications

  • High school diploma or GED
  • 3-5 years of experience in administrative support, program coordination, or event planning
  • Experience in healthcare or professional education environments preferred
  • One year certificate from college or technical school or Associate's degree with 5-7 years relevant experience desired
  • Familiarity with continuing education programs and compliance requirements preferred
  • Experience collaborating with external partners, alumni, or industry stakeholders preferred
  • Experience with social media or event promotion preferred
  • Strong organizational, communication, and interpersonal skills
  • Proficiency in Microsoft Office applications
  • Ability to work with minimal oversight and manage multiple projects

Job Duties

  • Coordinate CE events including speaker outreach, logistics, registration, and follow-up
  • Work with the College continuing education committee for event coordination and execution of event ideas and projects
  • Serve as administrator for the Association of Regulatory Boards of Optometry CE tracking and compliance
  • Support planning of student career development programming including the annual career fair
  • Coordinate admissions-related events and alumni engagement initiatives
  • Identify and coordinate external speakers and resources for faculty development
  • Coordinate event communications and promotional efforts including social media
