We are currently seeking a Sr. Administrative Assistant for our NE Portland Corporate Office to work onsite four days per week. This role is ideal for a highly organized, proactive individual who thrives in a dynamic environment and can handle a diverse array of tasks while supporting the Vice President and General Manager. The position involves managing confidential administrative and office functions that are essential to driving the business forward. As a vital member of our corporate support team, you will collaborate with a creative and talented workforce dedicated to elevating the experience of gracious living in built environments and supporting our beautiful showrooms nationwide.

The successful candidate will excel in communication, organization, and discretion, managing sensitive information and multiple priorities with professionalism. Responsibilities include comprehensive support in scheduling, communications, financial tasks, office management, employee engagement, and special projects. This role demands a detail-oriented individual who is adept at multitasking, scheduling complex calendars, coordinating meetings and executive travel, and acting as a liaison with high-level internal and external stakeholders. Beyond administrative duties, the role actively contributes to fostering a positive workplace culture through employee engagement initiatives and supports financial reporting and office operations.

Job Requirements

  • Minimum 5 years of relevant experience including administrative support, office management, HR, project coordination, internal communications, or executive business administration
  • Preference given to experience supporting top executives or corporate office setting
  • Coursework in Business Administration or related field preferred but not required
  • High proficiency with Microsoft Office products including Outlook, Word, Excel, and PowerPoint
  • Excellent communication and organizational skills
  • Ability to handle sensitive information with discretion
  • Must be authorized to work in the US without sponsorship now or in the future
  • Onsite work required 4 days per week at NE Portland Office

Job Qualifications

  • Minimum 5 years of relevant and directly related experience
  • Preference for experience supporting top executives or corporate offices
  • Coursework in Business Administration or related field preferred
  • High proficiency in Microsoft Office including Outlook, Word, Excel, and PowerPoint
  • Strong organizational and proactive multitasking skills
  • Excellent discretion and professionalism
  • Outstanding interpersonal and customer service skills
  • Capable of working independently with effective time management and follow-through

Job Duties

  • Create correspondence and general communication including proofreading and ensuring accuracy
  • Organize and prioritize information and calls responding on behalf of executives
  • Coordinate organizational communication and update internal communication channels
  • Act as liaison with Kohler Co. businesses and external contacts including executives
  • Manage Outlook calendar and schedule meetings and conferences
  • Attend executive and sales meetings creating and distributing minutes and action items
  • Maintain corporate calendar and arrange travel for key executives
  • Support employee engagement initiatives and new hire integration
  • Assist with expense reporting and provide financial performance information
  • Organize business scorecard and perform financial administrative tasks
  • Serve as general office coordinator overseeing guest management and office operations
  • Manage mail and packages and oversee onsite vendors
  • Facilitate building maintenance and maintain office supplies
  • Own general office environment including desk allocation and event setup
  • Act as business notary for worksite
  • Support and coordinate annual leadership summit
  • Manage special projects including planning presentations and coordinating mailings
  • Travel occasionally to support off-site meetings and events
  • Perform all responsibilities primarily onsite at Portland Support Center
