The role of Sponsorship and Marketing Coordinator is a key position within the Brazos Valley Fair and Rodeo team, tasked with driving sponsorship acquisition and retention, marketing initiatives, community outreach, and event vendor management. Reporting directly to the Manager and Assistant Manager, the Coordinator’s primary responsibility involves identifying potential sponsors, negotiating agreements, and maintaining strong partnerships to support the financial and programmatic success of the Fair and Rodeo events. This role demands a proactive individual capable of developing comprehensive marketing campaigns, including electronic and social media strategies, to enhance public engagement and awareness. The Coordinator also creates graphic designs for signage and promotional materials ensuring brand consistency across all platforms and communications.

In addition to marketing and sponsorship duties, the Coordinator oversees the participation of commercial exhibitors and vendors at both the Fair and Rodeo, coordinating logistics and compliance to ensure smooth operation during events. A significant aspect of the position involves community engagement and outreach, representing the organization at civic events, delivering presentations, and fostering relationships within the Brazos Valley community. The Coordinator must be comfortable working a flexible schedule, including evenings and weekends during events, and possess strong negotiation, organizational, and communication skills.

Job Qualifications

Job Duties

  • Identify potential sponsors and develop strategies to solicit sponsorships
  • maintain relationships with existing sponsors and ensure fulfillment of sponsorship benefits
  • negotiate sponsorship agreements and contracts
  • assist in the development and execution of marketing and advertising campaigns
  • monitor campaign performance and provide reports to management
  • develop and implement electronic and social media strategies to promote the Fair & Rodeo and its events
  • manage social media accounts, engage with followers, and increase participation and awareness
  • create basic graphic designs for signage, advertisements, and promotional materials
  • ensure consistency in branding and messaging across all materials
  • coordinate with commercial exhibitors and vendors participating in the Fair & Rodeo
  • facilitate agreements, manage logistics, and ensure adherence to event guidelines
  • represent the Brazos Valley Fair & Rodeo at civic and community events
  • deliver presentations to civic groups and the public to promote sponsorship opportunities and community involvement
  • maintain accurate records of sponsorships, marketing activities, and related expenses
  • assist in budget management and reporting
