The Specialty Travel Consultant role at BYU is a dynamic position responsible for overseeing corporate and deployed travel office operations within the university. This role serves as a trusted advisor to various campus departments, expertly coordinating complex domestic and international group travel. The consultant will leverage advanced knowledge of multiple programs including international study, For the Strength of Youth, Expeditions, Continuing Education, and athletic travel. Responsibilities include managing high volumes of corporate travel demands, driving process improvements, and leading impactful travel office projects under the guidance of the corporate travel supervisor. The position requires strategic planning and close collaboration with university departments to design and implement sophisticated travel logistics and event coordination plans, ensuring smooth execution of university-hosted events. On-site logistics management is a critical aspect, including airport coordination, hotel arrangements, catering, and event venue setup for large groups and VIPs. The consultant will also handle contract negotiation with airlines, hotels, and venues to secure optimal terms and manage intricate travel itineraries involving air, hotel, and rental car bookings for individuals and groups. Essential duties include managing travel transactions such as ticket refunds and exchanges, providing policy guidance to ensure compliance, and offering emergency support with 24/7 availability. This role also demands auditing daily transactions, organizing campus visits for feedback and performance assessment, delivering informative presentations, and managing unused ticket resources. Job Requirements

  • Bachelor’s degree preferably in business management, travel and tourism, geography, or related field
  • Two years full-time experience or equivalent combination of education and experience
  • Strong interpersonal and communication skills
  • Ability to manage multiple complex travel projects
  • Availability to provide 24/7 emergency travel support
  • Proficiency with airline booking systems, preferably SABRE
  • Ability to negotiate contracts with travel vendors
  • Members of The Church of Jesus Christ of Latter-day Saints must hold and be worthy to hold a current temple recommend

Job Qualifications

  • Bachelor’s degree preferably in business management, travel and tourism, geography, or related field
  • Two years of full-time experience or equivalent combination of education and experience
  • Two years of relationship management experience in travel or related field preferred
  • Proven ability to lead initiatives and ensure accountability toward success
  • Advanced personal computer skills including proficiency with the SABRE airline booking system
  • Comprehensive understanding of strategic sourcing, contract management, airline computer reservation systems, geography, fare construction, and related travel operations

Job Duties

  • Strategic planning and collaboration with university departments to design logistical strategies and event coordination
  • On-site logistics management for complex group and VIP travel including airport coordination, hotel arrangements, catering, and venue setup
  • Contract negotiation with airlines, hotels, and event venues to secure favorable terms
  • Coordination and management of intricate domestic and international travel itineraries including air, hotel, and rental car bookings
  • Oversight of travel transactions including ticket refunds, exchanges, upgrades, fee waivers, and seating preferences
  • Providing guidance on travel authorization procedures, expense management tools, and travel policies
  • Offering 24/7 emergency travel support for after-hours issues
  • Auditing daily travel transactions and implementing corrections
  • Organizing campus visits for assessing travel office performance and gathering stakeholder feedback
  • Delivering presentations on travel office services, vendor benefits, and best practices
  • Managing unused ticket tracking and resource utilization
