The Specialist position within the Special Events & Promotions Department is a full-time role that works closely with the Manager of Special Events & Promotions to orchestrate the entire lifecycle of events and promotional activities at the resort. This role is pivotal to ensuring that all events are executed flawlessly from the initial planning stages through to the final reconciliation. The Specialist handles a variety of responsibilities that involve extensive coordination with multiple internal departments such as marketing, entertainment, hotel services, and gaming operations, as well as liaising with external vendors. Attention to detail and the ability to manage multiple projects simultaneously are critical components of success in this role.
The Specialist is responsible for day-to-day departmental operations, including administrative tasks like drafting memorandums, managing inventory and supplies, and maintaining accurate records. They develop creative strategies for assigned events, utilizing organizational tools like event checklists to adhere to strict timelines. The role involves managing event logistics, including the setup and breakdown of decor and audiovisual equipment, alongside ensuring the compliance with gaming regulations and company policy regarding customer privacy and data confidentiality.
In addition to event management duties, the Specialist serves as a key point of communication for event-related inquiries from guests and team members. A professional demeanor and excellent interpersonal skills are crucial for maintaining strong relationships with a diverse range of stakeholders. Job Requirements
- At least 2 years of casino, marketing, communications or business-related experience
- Strong understanding of Microsoft Office including Word, Excel, PowerPoint, Access, and Outlook
- Strong problem-solving skills and ability to work independently
- Ability to handle multiple projects and work well under pressure
- Ability to interact well with internal departments and external vendors
- Availability to work flexible hours, nights, weekends, and holidays
- Regular and predictable attendance
- Well-groomed appearance
- Minimum age of 21 years
- Ability to obtain and renew Nevada Gaming license
- Compliance with responsible gaming guidelines
- Maintain confidentiality of company information
- Physical ability to perform job duties in a casino/hotel setting
- Tolerance for varying noise levels, temperature, illumination, and air quality
- Ability to lift and move up to 50 pounds occasionally
Job Qualifications
- At least 2 years of Casino, Marketing, Communications or Business-related experience
- Strong understanding of Microsoft Office (Word, Excel, PowerPoint, Access, and Outlook)
- Strong problem-solving abilities
- Capacity to work independently and make appropriate decisions without supervision
- Ability to handle multiple projects at one time and react well under pressure
- Ability to interact well with internal departments and external vendors
- Ability to work flexible hours including nights, weekends, and holidays
- Must present a well-groomed appearance
- Must be 21 years of age
- Ability to obtain/renew all government required licenses or certification, specifically a Nevada Gaming license
Job Duties
- Performs the day-to-day operations of the Special Events & Promotions Department
- Responsible for various administrative duties such as drafting memorandums, ordering, stocking, filing and maintaining inventory of department/event supplies
- Works with the Manager Special Events & Promotions to develop an overview and creative strategy for each assigned event
- Utilizes event checklists as an organizational tool for each event and adheres to timelines as assigned
- Coordinates event needs with internal departments including Club Serrano, Player Development, Marketing, Entertainment, Hotel, Resort Services, Warehouse, Banquets, Catering, Team Member Relations, Slot Operations, Table Games, Security, Facilities
- Develops and distributes communications regarding assigned events and promotions with internal and external partners
- Facilitates event logistics including load-in/out of decor, A/V, computers, signage, and reporting
- Utilizes Gaming Systems such as IGT, PKMS and Synkros to create promotional offers and execute promotions
- Enforces the privacy of VIP Casino Guests and limits requests for information in accordance with hotel policies
- Researches, responds and provides event inquiry information to guests and Palms team members
- Acts as a liaison with all vendors, guests, team members, departments, and divisions on all event relevant matters
- Protects the confidentiality of all company files, data, and documents
- Notifies Supervisor and/or Security of all unusual events, circumstances, missing items, or alleged thefts
- Responds to emergency situations as necessary
- Performs all other job-related duties as requested
