This particular role of Associate Specialist within the marketing team is crucial for the seamless execution of various events such as global congresses, customer visits, internal meetings, and other special occasions. The position demands excellent organizational skills, acute attention to detail, and proactive communication with stakeholders to deliver flawless event programs.

The Associate Specialist’s responsibilities center on coordinating logistics and communication efforts that underpin successful event delivery at all levels. From supporting Tier 1 congresses with nominations, scheduling, registration, and travel arrangements to providing onsite support, this role ensures that every operational detail is expertly managed. Additionally, the role supports Tier 2 and Tier 3 congresses by liaising with vendors, managing timelines, and handling day-to-day coordination. This includes precongress planning, onsite operations, and postcongress wrapups such as expense reconciliation and reporting.

Apart from congress support, the Associate Specialist coordinates calendars, travel plans, communications, and stakeholder engagement for U.S. and international healthcare professional visits. This role also assists with travel coordination for benchmark and sales events and offers hands-on onsite support for internal and select global events. Administrative support including travel bookings, calendaring, and expense management, especially for major congresses, forms a significant part of this position.

Job Qualifications

  • Bachelor's degree
  • Three years of related work experience or equivalent
  • Proven expertise in MS Office Suite
  • Experience in sales, marketing, or healthcare industry preferred
  • Certified Meeting Professional (CMP) preferred
  • Certified Meeting Professional healthcare subspecialty (CMP-HC) preferred
  • Excellent written and verbal communication skills
  • Strong interpersonal relationship skills
  • Good problem-solving and critical thinking abilities
  • Solid knowledge of strategic event planning policies and procedures
  • Ability to work professionally with all organizational levels
  • Ability to work effectively in a fast-paced team environment with global partners

Job Duties

  • Provide operational and logistical support for global congresses, including nomination reporting, scheduling, registration updates, travel coordination, and onsite support
  • Support vendor communication, timeline management, and day-to-day coordination for Tier 2 and Tier 3 congresses
  • Coordinate precongress logistics such as travel, attendee communications, calendaring, and vendor alignment
  • Manage onsite congress operations including setup, registration, issue resolution, and day-of coordination
  • Assist with postcongress wrapup including expense reconciliation, invoicing support, documentation, and reporting
  • Coordinate calendars, logistics, travel, communications, and stakeholder engagement for U.S. and international HCP customer visits
  • Provide day-of onsite support for internal events, special events, and select global events
  • Support team administrative efforts including calendaring, travel bookings, and expense management
