Job Description

These roles are casual and non-benefited positions, ideal for those looking to contribute to the community while maintaining flexible work hours.

The Special Events Staff position involves supporting various city-sponsored special events, assisting with event setup and teardown, and providing excellent customer service to event participants and attendees. These casual employees are limited to working no more than twenty-five hours per week and no more than 900 hours in a fiscal year, July 1 through June 30. This structure allows for flexibility and the ability to work around personal schedules while gaining valuable experience in event coordination and public service.

In this role, staff members will be engaged in executing event plans, managing interactive event areas such as arts and crafts stations, games, sports, and other recreational activities. Responsibilities include overseeing event participants to ensure safety compliance, assisting the Event Coordinator with various duties during the events, and managing the collection and proper storage of equipment after events conclude. The position also requires staff to attend special events throughout Sunnyvale to observe and document event operations through post-event surveys, providing essential feedback to improve future events.

Working conditions for this role involve a mix of physical activities such as sitting, standing, walking, reaching, kneeling, bending, squatting, and stooping. Additionally, the role demands good hand coordination and the ability to lift, drag, push, or pull objects weighing up to 10 pounds. Acute hearing and vision are necessary for effectively communicating and managing event operations. Candidates for this position must be at least 16 years old and possess a valid Class C California driver's license with a safe driving record or have alternative approved transportation means. Proficiency with Microsoft Office Suite programs such as Word, Excel, Publisher, PowerPoint, and Outlook is also valued.

Job Duties

  • Follow event plan and execute assigned duties effectively and efficiently
  • Responsible for set up and tear down of overall event
  • Monitor or manage interactive event areas such as arts and crafts station, games, sports and activities
  • Oversee event participants ensuring that proper safety measures are being followed
  • Assist Event Coordinator with day of duties and support where needed
  • Collect equipment after the event and properly store away the items
  • Attend assigned special events throughout the city to observe and document event operations on a post-event survey
