Job Description

The Special Events Coordinator position, reporting to the Health Initiatives Director, plays a key role within the YMCA by providing leadership and overseeing the coordination and execution of special events that promote health and community well-being. This part-time role requires dedication to the organization’s mission and a passion for community service. The coordinator's responsibilities span managing wellness and training programs such as Jump Start and Team 13, fostering relationships with volunteers, sponsors, participants, and community partners. Effective communication skills are essential, particularly through digital platforms like Facebook and Constant Contact, to engage and motivate community members.

The role demands creativity and an understanding of brand communications, promotions, and technology integration to optimize the marketing and outreach efforts surrounding special events. The position is integral to the support and execution of major events including the Half Marathon Committee, ensuring that all activities align with the YMCA’s Christian mission and values. Working evenings and weekends is expected, reflecting the need to be present during events and volunteer activities.

This position also includes administrative tasks such as policy adherence regarding boundaries with consumers, abuse risk management, mandated reporting protocols, and continuing program development. The Special Events Coordinator must be a self-starter with excellent organizational, time management, and project management skills to juggle multiple priorities efficiently. Emphasis is placed on fostering inclusive environments where community members of varied social and economic backgrounds feel welcome and engaged.

In addition to managing special events, the coordinator will work closely with part-time staff and supervisors, ensuring seamless communication and collaboration within the YMCA team. Job Requirements

  • Related work experience in community health and wellness or bachelor’s degree in community health or related field
  • Valid driver’s license with a clean driving record
  • CPR/AED, First Aid, Oxygen and Blood Borne Pathogen training within 60 days of employment
  • Child Abuse Prevention training before or on first day of work
  • Ability to communicate effectively with diverse groups and top community leaders
  • Ability to recruit and train volunteers
  • Adherence to YMCA policies and mandated reporting requirements
  • Availability to work evenings and weekends
  • Physical ability to lift and move up to 25 pounds
  • Business casual dress adherence during office hours and meetings

Job Qualifications

  • CPR/AED, First Aid, Oxygen and Blood Borne Pathogen training required within 60 days of employment
  • Child Abuse Prevention training required before/on first day of work
  • Related work experience in the community health and wellness space or B.A. or B.S. in Community Health or the like
  • Valid driver’s license with a clean driving record
  • Ability to relate to top community leaders and diverse groups of people from all social and economic segments of the community
  • Ability to recruit and train special event volunteers
  • Strong creative and conceptual vision, understanding of brand communications, advertising and promotions
  • Demonstrated ability to communicate effectively and articulate and enforce Y policies in a positive manner
  • Strong member service with problem resolution skills that are handled in a friendly, courteous and professional manner when dealing with volunteers, members, program participants and other staff members
  • Self-starter and initiator with a passion for service and relationship-building
  • Proven multi-tasker, detail oriented, and extremely organized
  • Excellent time management skills
  • Project management skills are a plus

Job Duties

  • Oversee YMCA Jump Start and Team 13 wellness and training programs
  • Build relationships with volunteers, participants, sponsors and community partners to implement and oversee training programs
  • Create and maintain health initiatives within the training programs to help improve overall community wellness
  • Communicate with participants and volunteers through use of Facebook, Constant Contact, etc
  • Effectively communicate the goals of the YMCA
  • Provide training and coaching for staff and volunteers for special events
  • Integrate the use of technology and social media to enhance the marketing of YMCA Special Events
  • Serve as staff support for the Half Marathon Committee
  • Embrace and effectively integrate Christian mission of the YMCA into special events
  • Evenings and weekends required
  • Assist with planning and execution of YMCA Special Events
  • Self-starter with the ability to communicate effectively with other part time staff and supervisor
  • Adhere to policies related to boundaries with consumers
  • Complete required abuse risk management training
  • Report suspicious or inappropriate behaviors and policy violations
  • Follow mandated abuse reporting requirements
  • Other duties as assigned
