The Special Events Coordinator serves as the central point of contact between City management, non-profit groups, businesses, and the community to facilitate successful event planning and implementation. The role involves coordinating all logistical aspects, including securing permits, preparing equipment and facilities, and orchestrating staff assignments for each event. Additionally, the coordinator assists the community with event planning on public property, ensuring compliance with municipal regulations, and supporting marketing efforts across multiple departments to promote community-initiated events.

Candidates for this role should possess a comprehensive understanding of event logistics, marketing principles, and city regulations related to public gatherings. The position requires advanced skills in utilizing Office 365 and strong communication abilities to establish and maintain effective working relationships with city officials, vendors, and the public. Licensing and certification requirements include a valid Class C Texas driver’s license and First Aid, CPR, and AED certification or the ability to obtain these within six months of hire.

Job Requirements

  • 4-year college degree
  • 3-years related experience
  • Valid Class C Texas driver’s license
  • First Aid, CPR and AED certification or the ability to obtain within six months of hire
  • Ability to work some nights and weekends
  • Ability to lift up to 25 pounds
  • Ability to work in a typical office environment and communicate effectively by telephone and in person

Job Qualifications

  • Bachelor’s degree in business administration, event planning or management, recreation, marketing or similar field of study
  • 3-5 years experience in recreation, marketing or event planning
  • Comprehensive knowledge of logistics in planning and coordinating city departments to create a successful event
  • Comprehensive knowledge of principles and practices in marketing and promoting citywide programs and events
  • Comprehensive knowledge of governmental regulations for public events
  • Ability to establish and maintain an effective working relationship with all levels of city staff and officials, vendors and citizens
  • Comprehensive knowledge of marketing principles
  • Knowledge of the English language and proper rules of grammar
  • Advanced skills in utilizing Office 365

Job Duties

  • Coordinate and facilitate City-wide special events including the development of themes, concepts and marketing objectives for each event
  • Oversee and assign tasks for special events including permits, preparation of equipment and facilities and coordination of staff
  • Act as liaison with City Management and non-profit groups and businesses in the assistance of planning events
  • Coordinate and monitor event timelines and ensure deadlines are met
  • Assist with the planning and marketing of community-initiated events involving other City departments and related organizations
  • Negotiate event contracts and professional service agreements for outsourced services as needed
  • Run statistical reports and related metrics for events and promotions
  • Ensure all event costs stay within the assigned budget
  • Supervise all full-time and part-time staff assigned to the special event
