The Special Events Manager role at Palm Beach Opera is pivotal in strengthening philanthropic engagement and relationships through the planning and execution of elegant, mission-driven events. This full-time position demands an individual who thrives in a fast-paced environment and possesses exceptional project management skills paired with a high attention to detail. The manager will be responsible for producing donor-centric events that align with the company’s fundraising goals, enhance patron experiences, and reflect the sophistication and mission of Palm Beach Opera. Key events include receptions, opening night dinners, educational Lunch & Learn series, Board of Directors trips, and a grand annual Gala attended by up to 400 guests at The Breakers.

In this role, the Special Events Manager will build and manage detailed event budgets, timelines, and run-of-show documents with technical precision and organizational expertise. They will leverage data analytics from CRM platforms to inform event strategies, optimize donor outreach, and improve fundraising results. The role requires negotiating favorable vendor contracts and coordinating logistics for venues, catering, audiovisuals, and event design elements. Collaboration will be essential, working closely with development, marketing, and artistic teams to create compelling event materials and communications.

The ideal candidate is a warm, creative, and highly organized professional with 3+ years of experience in event planning or fundraising, preferably within a nonprofit arts organization. Advanced proficiency in Microsoft Excel for managing complex budgets and data is critical, as is experience with CRM systems like Tessitura for maintaining data integrity and tracking engagement metrics. The Special Events Manager must be adept at managing guest lists, RSVPs, and seating arrangements with meticulous attention to detail and a high level of professionalism and discretion when handling donor-related information.

Flexibility to work evenings and weekends for event execution is required. Job Requirements

  • 3+ years of experience in event planning fundraising or similar role

Job Qualifications

Job Duties

  • Plan and execute all special events including receptions, opening night dinners, Lunch & Learn series, Board of Directors trips, and the annual Gala
