We are currently seeking a highly motivated and energetic Special Events Manager to join our team and lead the planning, coordination, and execution of exceptional events that enhance our organization's presence and engagement. This role serves as the driving force behind crafting memorable experiences that resonate deeply with our audiences, from concept development through to flawless event delivery. The Special Events Manager will be responsible for aligning event concepts and strategies with broader organizational objectives, including marketing initiatives and fundraising efforts.
The position demands a candidate with a passion for hospitality, exceptional attention to detail, and superior organizational skills capable of managing multiple complex projects simultaneously under tight deadlines. You will oversee all facets of event planning and management, including vendor contract negotiations, budget oversight, resource optimization, and the execution of targeted marketing campaigns designed to boost attendance and engagement. With a focus on delivering outstanding customer service, you will facilitate smooth event registration and create welcoming environments that encourage client satisfaction and long-term engagement.
The role also requires meticulous management of budgets to maximize resources through effective negotiation and upselling, ensuring events are both impactful and financially sound. You will coordinate with both internal teams and external partners to guarantee seamless event execution while tracking event timelines diligently to meet deadlines without compromising quality.

Job Requirements
- Proven experience in event marketing, event planning, or hospitality management
- Excellent communication skills to liaise effectively with clients, vendors, guests, and team members
- Must have reliable transportation
- Demonstrated ability in budgeting, financial management, and upselling techniques
- Exceptional organizational skills with the ability to manage multiple projects simultaneously under tight deadlines
- Knowledge of event management software tools
- Ability to adapt quickly to changing circumstances while maintaining a positive attitude and professional demeanor
- Strong negotiation skills
- Must be able to lift, carry, transport, and setup a variety of materials weighing up to 50 lbs
- Working knowledge of Hawaii Academy and its surrounding community resources preferred
- Experience supervising students, clients, volunteers, staff, and guests of all ages
Job Qualifications
- Proven experience in event marketing, event planning, or hospitality management
- Excellent communication skills to liaise effectively with clients, vendors, guests, and team members, especially those of diverse backgrounds, cultures, and ages
- Must have reliable transportation
- Demonstrated ability in budgeting, financial management, and upselling techniques to maximize event profitability
- Exceptional organizational skills with the ability to manage multiple projects simultaneously under tight deadlines
- Knowledge of event management software tools and familiarity with client services operations in hospitality settings
- Ability to adapt quickly to changing circumstances while maintaining a positive attitude and professional demeanor
- Strong negotiation skills with a track record of securing contracts and vendor agreements that benefit the organization
- Experience supervising students, clients, volunteers, staff, and guests of all ages
- Gymnastics, physical education, cheer, dance background is a plus
- Working knowledge of Hawaii Academy and its surrounding community resources preferred
Job Duties

- Manage budgets meticulously, tracking expenses and maximizing resources through effective negotiation and upselling opportunities
- Lead contract negotiations with vendors, venues, caterers, and other service providers to secure favorable terms while maintaining quality standards
- Implement targeted marketing campaigns for events using various channels to boost attendance and engagement
- Provide exceptional customer service by addressing client inquiries promptly, managing registration processes, and ensuring a welcoming atmosphere
- Monitor event timelines closely, managing time efficiently to meet deadlines while maintaining high standards of quality
- Conduct post-event evaluations to gather feedback, analyze success metrics, and identify areas for improvement for future events
- Assist in organizing and maintaining special events supplies inventory
