The Special Events Manager position at Rush University Medical Center is a full-time role based in Chicago, Illinois, offering an hourly wage ranging from $25.20 to $35.60. This role is essential to the smooth execution and planning of high-profile student and faculty events sponsored by Rush Medical College. The Special Events Manager is responsible for overseeing various prestigious events including the White Coat Ceremony, Match Day Celebration, Awards Ceremonies, and more, ensuring each is conducted with utmost professionalism and aligns with Rush’s values and standards.

This role requires collaboration with multiple stakeholders such as students, faculty members, staff, volunteers, and external vendors. The manager will engage in strategic event planning, from initial concept development through execution and post-event assessment, playing a crucial role in enhancing student engagement initiatives and reinforcing the institution's reputation for excellence. The duties include coordinating logistics, budgeting, marketing, registration, venue management, and ensuring compliance with Rush policies and standards.

Additionally, the manager supports events related to student affairs, academic programs, and Continuing Medical Education (CME) accreditation, working closely with departments such as Admissions, Student Affairs, Alumni Relations, and the Division of Translational Sciences. Exceptional organizational, interpersonal, and communication skills are necessary to navigate these complex interactions and deliver seamless event experiences.

Job Requirements

  • Two years of special events planning experience in higher education or related fields

Job Qualifications

  • Bachelor's degree ideally in hospitality, communications, or marketing
  • Two years of experience in special events planning in higher education or relevant organizations
  • Superior written communication and organizational skills
  • Comprehensive understanding of Microsoft Office Suite including Teams, Excel, Word, Microsoft Forms, and PowerPoint as well as social media
  • Excellent interpersonal skills when dealing with colleagues, supervisors, students, and families
  • Ability to work and collaborate effectively in team environments and with various stakeholders
  • Ability to work independently, prioritize multiple projects, and manage simultaneous assignments
  • Detail-oriented, self-motivated, sensitive to confidential issues, dependable, and flexible
  • Willingness to work some nights and weekends

Job Duties

  • Plan and manage all events sponsored by Rush Medical College including White Coat Ceremony, Match Day Celebration, AOA Luncheon, AOA Dinner, Awards Ceremony, Commencement Luncheon, Gold Humanism Ceremony, Lori Ann Roscetti Memorial Lecture, and the annual Ambulatory Preceptor Workshop
  • Collaborate with RMC Admissions and Student Affairs departments on specific events and assist as needed
  • Work with the Vice Dean of Education and Student Experiences and Head of the Division of Translational Sciences on annual planning and hosting of the Research Symposium
  • Collaborate with RUSH University Student Affairs and Alumni Relations on activities related to graduation and commencement including committee membership and participation
  • Serve as the point person for Continuing Medical Education (CME) related paperwork required for credits awarded at events and meetings
  • Coordinate relevant content with internal websites and newsletter communications
  • Organize and coordinate all event-related tasks from conception to execution including budgeting, expense tracking, venue selection, marketing, invitations, registration, and day of event tasks
