Job Description

UCP of Central Florida is a leading non-profit organization dedicated to empowering children with and without disabilities by providing individualized support, education, and therapy services in inclusive environments across Central Florida. Established over 70 years ago, UCP operates eight campuses situated in key locations including Downtown Orlando, East Orlando near UCF, Kissimmee, Pine Hills, Lake Mary, and Winter Garden. The organization impacts thousands of children each year with a variety of programs such as pediatric therapy clinics, parent support initiatives, and comprehensive educational services. The role of the Special Events Manager at UCP of Central Florida is a pivotal position responsible for orchestrating all special event logistics across the agency. This position is tasked with planning, coordinating, and managing a wide range of signature events including the annual Gala, Breakfast, Golf Tournaments, Staff Recognition and Retention events, and the Book Buds program. The Special Events Manager plays an essential role in the operational success of these events by creating detailed timelines, task lists, and event plans that ensure smooth execution from start to finish. Coordination responsibilities encompass managing food and beverage arrangements, table setups, silent and live auctions, committee support, mailings, follow-up processes, venue coordination, production elements, and on-site event supervision.

In addition to logistical oversight, this position involves collaboration with the Marketing Team to conceptualize event themes and direct graphic design, production, printing, communications, and promotional campaigns including social media and website presence. The Special Events Manager also handles financial tracking related to events such as managing check requests, invoicing, and financial reporting to ensure budget adherence and transparency. Maintaining an organized donor database for all event-related contributions, including sponsorships, in-kind donations, and table sales, is crucial alongside the responsibility of ensuring timely and accurate donor acknowledgments.

Further duties involve supporting development and fundraising activities by coordinating social media efforts, assisting with content for the UCP website, and updating the Monthly Development Dashboard Report. Collaborating on the creation and implementation of the Annual Development Plan is also part of the role. The Special Events Manager is a key player in advancing UCP's mission by leveraging exceptional organizational skills, relationship-building abilities, and a proven track record of successful large-scale event coordination. Job Requirements

  • Bachelor's degree preferred in related field
  • Minimum 3 years experience coordinating large special events
  • Excellent organizational skills and attention to detail
  • Strong computer skills including Microsoft Word and Excel
  • Ability to travel within geographic area and work flexible hours including nights and weekends
  • Ability to maintain confidentiality
  • Excellent communication and relationship-building skills

Job Qualifications

  • Bachelors degree preferred in related field
  • 3 plus years demonstrated success coordinating large special events
  • Proven track record of generating revenue from events
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and other software
  • Strong organizational and attention to detail skills
  • Ability to build rapport with team members and external stakeholders

Job Duties
