The Special Events Coordinator role is integral to the Foundation that supports St. Joseph's Children’s Hospital and other charitable initiatives tied to the Medical Center. This position is responsible for providing comprehensive administrative and logistical support for the Foundation’s major fundraising events, such as the Foundation Gala, Foundation Golf Classic, SAX 4 MILER, and Fashion with Compassion. These events play a critical role in raising funds and awareness for the hospital and its programs.
In this hybrid position based in Paterson, NJ, the Special Events Coordinator works closely with the Manager of Strategic Events to handle multifaceted responsibilities spanning event communication, production of marketing materials, sponsor relations, and volunteer coordination. The role demands a blend of creative marketing skills and operational efficiency to successfully execute each event's communication plan, which includes digital marketing, email campaigns, and social media content. The coordinator manages the production of event signage and materials to ensure brand consistency while maximizing visibility for sponsors and donors.
Additionally, this role oversees the creation and management of the event ad journals for two major annual fundraising events, engaging nearly 100 major donors and ensuring timely, high-quality deliverables. Supporting event committees is another key function, with the coordinator tasked with designing meeting presentations, maintaining attendance records, and documenting minutes to facilitate smooth event planning processes.
Data management responsibilities include the use of Raiser’s Edge, a database management system, to maintain accurate sponsor and guest information, a critical component for event tracking and donor engagement. Operational duties extend to managing the event supply closet to ensure all necessary equipment and materials are well-stocked and organized for seamless event setups and breakdowns.
The role also requires strong communication and relationship-building skills to maintain ongoing contact with donors, committee members, vendors, and volunteers. Participation in venue and vendor meetings, hands-on assistance with event setup and breakdown, and on-site event coordination are essential tasks that support the flawless execution of each fundraising event.

Job Requirements
- Bachelor’s degree in marketing, communications, public relations, business administration, or a related field
- Excellent written and verbal communication skills
- Superior organization skills, accuracy and precision in handling details
- Computer proficiency with Microsoft Office and a database management system, specifically Raiser’s Edge
- Experience in event marketing and branding
- Flexibility to participate in evening/weekend events and to travel, as needed
- Ability to create event concepts and supporting materials including branding, website details, sponsorship levels and benefits, donor correspondence and executive reports
- Strong communication skills and relationship building

Job Duties
- Manage the creation of the event ad journal for two major fundraising events annually, communicating with nearly 100 major donors and ensuring timely production, high-quality design, and strong collaboration with sponsors
- Support the event committees by designing engaging slide decks for each meeting, managing meeting attendance, and writing meeting minutes to ensure smooth and organized event planning and execution
- Execute on each event’s communication plan through digital marketing strategies, including designing email campaigns and social media content to increase engagement and promote event awareness
- Create event sponsor signage and materials, ensuring brand consistency while maximizing sponsor visibility and recognition throughout the event
- Assist in entering data into the Raiser’s Edge database for each event, specifically managing sponsor guest data
- Manage and organize the event supply closet, ensuring all materials and equipment are properly stocked, labeled, and easily accessible for event execution
- Communicate with key donors and committee members throughout the event planning process, providing updates and addressing inquiries to support event success
- Support the Manager, Strategic Events in all administrative and logistical tasks, including attending meetings with venues and vendors, coordinating volunteers, prepping event materials, assisting event set-up and breakdown, and supporting with on-site coordination to ensure seamless execution of all event activities
