The Event Coordinator is entrusted with the full lifecycle management of events, including planning, coordination, and execution. This role demands a hands-on approach in managing event committees and volunteers, negotiating with multiple vendors, and aligning event objectives with the foundation's strategic mission. A key responsibility is to maintain detailed oversight of event budgets, optimize expenditure, and ensure cost-effective delivery without compromising quality or impact. The role requires collaboration across departments, particularly with the foundation team, to align efforts and maximize event success.
Management of event databases and platforms is another crucial aspect of this role, facilitating seamless planning, registration, tracking, and comprehensive reporting activities. The coordinator will operate as the primary liaison between the organization and external partners, including venues, caterers, audiovisual providers, and décor vendors. Effective volunteer recruitment, training, and supervision will support event execution, alongside leadership in on-site event management encompassing setup, flow supervision, and breakdown.
To thrive in this role, the ideal candidate will possess a bachelor’s degree or an equivalent combination of education and experience in event management, hospitality, marketing, communications, nonprofit management, or related fields. A minimum of three years’ experience in event planning or coordination is essential, with proven competence in working with diverse teams and managing vendor relationships. Experience with event management platforms or CRM databases such as Raiser’s Edge or Cvent is highly valued.
Preferred candidates will have a background in nonprofit or fundraising environments, experience supporting donor engagement, and a demonstrated ability to manage event committees or volunteer groups effectively. Strong project management skills including budgeting and sponsorship tracking are integral, alongside capabilities in sponsorship fulfillment and professional event planning certification, such as Certified Meeting Professional (CMP), which will be highly regarded.

Job Requirements
- Bachelor’s degree in event management, hospitality, marketing, communications, nonprofit management, or related field or equivalent combination of education and relevant experience
- Three years of previous experience in event planning, coordination, or management
- Experience working with vendors, volunteers, and cross-functional teams
- Familiarity with event management platforms and/or CRM databases such as Raiser’s Edge, Cvent, or similar
